• Engage in communication with healthcare providers (HCPs) and clinic personnel through phone, email, and fax to acquire necessary patient documentation.
• Actively follow up on any missing or incomplete information to guarantee timely progression of orders.
• Function as the primary liaison for clinic navigators, coordinators, and administrative staff.
• Cultivate strong relationships with clinic teams to enhance responsiveness and efficiency.
• Assess incoming documentation for accuracy, completeness, and adherence to compliance standards.
• Monitor and manage order status from initiation to completion.
• Collaborate with internal teams (reimbursement, operations, clinical support) to address and resolve issues.
• Ensure that all activities are in compliance with HIPAA and Protected Health Information (PHI) regulations.
• Use Salesforce (or a comparable CRM) to document interactions and track the progress of orders.
• Maintain precise and timely records to uphold data integrity.
• Review dashboards and reports to prioritize outreach and follow-up actions.
• Assist with reporting requirements across sales and operations teams.
• Establish key relationships within partner clinics, including referral coordinators and navigators.
• Gain insight into clinic workflows to enhance engagement strategies.
• Collaborate with Territory Managers and Associate Sales Representatives (ASRs) to bolster regional initiatives.
• Provide feedback to refine internal processes and improve customer experience.
• Identify workflow inefficiencies and propose improvements.
• Aid in the onboarding of new clinics and guide them through documentation requirements.
• 1–3 years of experience in healthcare, sales support, customer service, or a related area.
• Bachelor’s degree preferred, or equivalent professional experience.
• Previous experience with Salesforce or similar CRM systems is preferred.
• Knowledge of HIPAA regulations and handling of PHI is required.
• Exceptional attention to detail and the ability to manage multiple priorities in a dynamic environment.
• Temp-to-hire engagement to initiate, with the potential to transition to full-time based on performance and business requirements.
