• Assist the account manager in overseeing daily communication with grocery and specialty accounts.
• Aid in the preparation and follow-up of purchase orders, confirmations, and tracking shipments.
• Support the account manager in addressing client issues or escalations promptly.
• Compile and organize weekly and monthly sales reports.
• Monitor sell-through rates, scan data, and inventory levels to pinpoint opportunities or risks.
• Help prepare presentations, line sheets, and sell-in materials for meetings with buyers.
• Track account performance against targets and alert the account manager of any discrepancies.
• Assist the account manager in developing and updating sales forecasts based on scan data and client feedback.
• Coordinate the setup of new item forms (NIFs) and ensure accurate and timely submission of all necessary information.
• Monitor changes in product assortment, planogram updates, and new launches by account.
• Conduct competitive analysis and market research to identify product gaps and trends in the grocery and specialty channels.
• Keep track of promotional calendars, deal submissions, and advertising commitments for each account.
• Evaluate promotional performance and report findings to the account manager.
• Collaborate with the warehouse regarding special handling requirements, case versus each fulfillment, and order priorities for each account.
• Assist in managing chargeback processing, credits, and returns in collaboration with the finance team.
• Act as a liaison with internal teams, including logistics, marketing, finance, and operations, to ensure seamless order execution.
• Support the onboarding process for new accounts by gathering necessary vendor setup documentation.
• Maintain and manage vendor portals efficiently.
• Organize and manage internal trackers, calendars, and meeting notes.
• Assist in preparing for sales meetings and buyer presentations.
• Perform other related duties as needed.
• 1 to 2 years of experience in sales coordination, account management, or a similar role, preferably in the beauty or consumer goods industry.
• Strong organizational skills with the capability to manage multiple priorities and deadlines.
• Excellent communication skills, both written and verbal.
• Proficiency in English is required - C1 level or higher.
• Advanced skills in Microsoft Excel, including the ability to pull, organize, and analyze sales data (pivot tables, vlookups, etc.).
• Experience with NetSuite is required, including order management, reporting, and invoicing.
• Familiarity with retailer vendor portals is a plus.
• Detail-oriented, proactive, and a strong collaborator.
• Working Hours: 9:00 am / 6:00 pm PST
