Sales & Client Operations Coordinator

This is a fully remote position, open to applicants in Philippines.

📋 Description

• Collection of client information

• - Quotation phase: gather complete specifications from clients, including product type, dimensions, materials, finishes (foil, emboss, spot UV, etc.), print colors, order quantities, annual volume, dielines, ship-to address/port, and target dates. Follow up on any missing details until the specifications are fully complete.

• - Sampling phase: acquire final artwork files, verify sample specifications against the quote, collect shipping addresses, coordinate the dispatch and delivery of samples, and track client feedback and approval/revision decisions.

• - Production phase: ensure final artwork aligns with the approved sample, confirm purchase order details, quantities, packing/carton requirements, labeling requirements, and shipping details before releasing anything to the factory.

• Client communication

• - Respond to incoming client messages (primarily via email) within agreed service level agreements (SLAs).

• - Send structured follow-ups when information is lacking — polite, persistent, and precise.

• - Adhere to our email conventions (subject format, CC rules) in every communication thread.

• - Prepare status updates so clients are always informed about their project's progress.

• ERP & data management

• - Document every significant client interaction in our ERP (communications log).

• - Maintain current order statuses, files, and specifications — ensuring that artwork, dielines, and spec sheets are attached with the correct file types.

• - Highlight any ambiguous or contradictory information before it advances downstream — never make assumptions.

• Liaison with the China team

• - Translate client requirements into clear, comprehensive production-ready briefs for our internal quoting lead and factory team.

• - If fluent in Chinese: directly communicate with the China team in Mandarin, ensuring clarity between client English and factory Chinese.

• - Pursue internal answers (pricing, lead times, feasibility) to prevent client responses from stalling.

⛳️ Requirements

• Experience in the packaging industry — you have worked in or with packaging manufacturing or trading, preferably with paper packaging (folding cartons, rigid boxes, corrugated, mailers, labels). Familiarity with other substrates is acceptable. You understand terms like dieline, GSM, Pantone, and tolerance without needing to look them up.

• Exceptional attention to detail — this is the primary hiring criterion. You notice the 2mm discrepancy, incorrect file version, and missing finish callout. Our screening process evaluates this directly.

• Proficient written English — you maintain a professional, clear, client-facing quality.

• Highly organized and self-managing — this is a remote role with a high volume of concurrent tasks; nothing should be overlooked.

• Timezone: able to work with significant overlap with China (GMT+8) plus a few hours of overlap with US clients.

• Major Plus

• Fluency in Chinese (Mandarin), both spoken and written — you can communicate directly with our factory team. Candidates who are strong in English, fluent in Chinese, and have packaging experience will be prioritized.

• Familiarity with ERPs/CRMs and structured process work (SOPs, checklists).

• Experience serving Western (US/EU) e-commerce or consumer-brand clients.
