This is a fully remote position, open to applicants in California, +2 more states.
• Ensure complete safety oversight across all regional locations, including warehouses, showrooms, field operations, and acquired facilities, through regular scheduled inspections and unannounced site visits.
• Maintain a visible presence on the floor; demonstrate safe practices, hold leadership accountable, and act as the primary on-call safety contact for the region.
• Assess, document, and follow up on all incoming safety communications from supervisors, employees, and coordinators within established timeframes.
• Oversee workers’ compensation from the initial report to claim resolution, acting as the designated senior regional contact for TPA adjusters and all claims-related communications.
• Keep thorough, defensible claim files for every ongoing case; identify unusual trends such as delayed reporting, post-termination filings, or recurring claimants and escalate as necessary.
• Drive strategy on high-value or litigated claims in collaboration with external counsel, HR, and the Director of Safety & CI; perform independent file reviews focusing on aging and high-reserve cases.
• Monitor and report on structurally elevated cost items — such as reserve levels, litigation strategies, and EMR impact — quarterly.
• Maintain injury attestations, JHA acknowledgments, and Evidence Defense Packets for all claims.
• Lead rapid response efforts for serious incidents and utilize ISO ClaimSearch to check for potential fraud.
• Evaluate new facilities within 30 days and provide remediation plans for acquisitions.
• Train newly acquired staff on Vesta's IIPP, PPE, HSI, and Golden Hour protocols within 90 days.
• Coordinate system enrollment and update the Director of Safety & CI on integration within 60 days.
• Supervise injury responses and ensure consistent execution of Golden Hour protocols across the region.
• Conduct toolbox talks, ensure PPE/equipment safety, and oversee forklift certifications.
• Maintain OSHA 300 Logs and IIPP records while encouraging near-miss reporting.
• Provide written Modified Duty Offers on the same day to prevent unnecessary TTD transitions.
• Manage regional bridge job catalogs and track injured employee progress in HSI.
• Collaborate with HR to implement validated pre-hire integrity and physical ability screenings.
• Analyze hiring data against WC outcomes to reduce risk and enhance hire quality.
• Ensure accuracy in OSHA logs and work with CI to manage PPE and training records.
• Report safety metrics monthly and assist with actuarial modeling for carrier reviews.
• Train regional leaders on reporting and incident protocols to integrate safety KPIs.
• Foster shared accountability in the region through peer-to-peer safety observations.
• Work with CI to archive regional training, forklift, and PPE inventory data.
• Provide monthly regional metrics to the Director of Safety & CI for C-suite dashboards.
• Supply precise claim and lag-time data for actuarial EMR projections.
• Prepare data for carrier reviews and assist with standalone workers' compensation transitions.
• Educate all regional leadership on the Golden Hour card, incident documentation, modified duty processes, and HSI reporting requirements.
• Integrate safety KPIs into operations manager performance dialogues; collaborate with the Director of Safety & CI on accountability frameworks.
• Develop peer-to-peer safety observation capabilities throughout your region.
• Minimum of 5 years of progressive experience in safety, EHS, workers’ compensation, or operational risk, with at least 2 years in a multi-site or regional role.
• Proven experience managing workers’ compensation claims with a TPA or carrier from initial report to claim closure.
• Strong familiarity with Cal/OSHA and federal OSHA regulations, including IIPP, heat illness prevention, hazard communication, and recordkeeping.
• Background in managing or mentoring staff on EHS protocols and procedures.
• Willingness to spend the majority of time in the field — including warehouses, logistics facilities, and showrooms.
• Exceptional organizational skills: meticulous records, complete files, and no documentation gaps.
• Effective communication skills across all levels — from warehouse personnel to supervisors, outside counsel, insurance adjusters, and C-suite executives.
• Demonstrated ability to create and implement safety training programs, SOPs, and onboarding processes.
• Capability to manage a regional on-call safety line and respond to urgent incidents outside of regular business hours as necessary.
• Bilingual in Spanish and English preferred for West Coast markets.
• OSHA 30-Hour General Industry certification required.
• Previous experience with Helmsman, Liberty Mutual, or Sedgwick as a TPA is advantageous.
• Familiarity with HSI, Samsara, or Dash by Foley platforms preferred.
• Experience in leading safety integration for acquired businesses or in multi-brand environments.
• Forklift certification or willingness to obtain one.
• CSP (Certified Safety Professional) or ARM (Associate in Risk Management) designation preferred.
• Knowledge of NY workers’ compensation regulations and CA mental stress presumption laws is a plus.
