This is a fully remote position, open to applicants in Philippines.
• Take charge of the complete interview scheduling process involving candidates, interviewers, recruiters, and hiring managers.
• Oversee candidate communications, including requests for availability, confirmations, rescheduling, and follow-up messages.
• Ensure that interviewers receive accurate calendar invites, interview specifics, and candidate materials in advance of each interview.
• Monitor schedules and address conflicts, cancellations, and last-minute alterations efficiently.
• Keep Ashby records and interview stages consistently accurate and current at all times.
• Coordinate swiftly via Slack to maintain stakeholder alignment and keep the process on track.
• Assist in documenting and enhancing recruiting workflows as the team expands.
• Support revisions to interview plans, templates, and candidate communication protocols.
• Identify ways to minimize scheduling challenges and enhance team coherence.
• Ensure consistency and precision across Ashby, calendars, and Slack updates.
• Source candidates from both onshore and offshore markets for active positions.
• Develop and manage pipelines from initial outreach to recruiter handoff.
• Monitor sourcing activities and candidate responses in Ashby, coordinating follow-ups with recruiters.
• A minimum of 3 years of experience in recruiting coordination, talent operations, administrative coordination, or a related field.
• Proven sourcing experience with both onshore and offshore candidate pools, including pipeline development and outreach efforts.
• Exceptional organizational skills and attention to detail, with the ability to manage multiple schedules, priorities, and stakeholders at the same time.
• Strong written and verbal communication skills in English.
• Comfortable learning and operating within a modern ATS; prior experience with Ashby is advantageous but not mandatory.
• Proficient in using Slack for internal communication and daily coordination tasks.
• Maintain composure and professionalism when addressing last-minute changes or scheduling conflicts.
• Strong sense of ownership and commitment to both explicit and implicit responsibilities.
