• Take charge of the complete recruiting process for designated client roles, starting from intake to offer acceptance.
• Identify, evaluate, and curate a pool of qualified candidates through job boards, LinkedIn, referrals, and direct outreach.
• Conduct structured candidate screenings and provide succinct, insightful summaries to clients.
• Ensure consistent communication with candidates and maintain momentum in the pipeline throughout each search.
• Deliver an exceptional experience for both clients and candidates at every interaction.
• Engage in client intake discussions to comprehend role specifications, cultural alignment, and hiring priorities.
• Proactively update client contacts regarding pipeline status, candidate quality, and search developments.
• Assist clients in making informed hiring decisions with organized candidate comparisons and next-step recommendations.
• Escalate complicated client situations or trade-offs to the Director of Recruitment when necessary.
• Implement Flex HR's established recruitment methodology, encompassing role blueprinting, sourcing plans, scorecards, and shortlist presentation.
• Utilize intake forms, interview guides, and candidate tracking tools consistently throughout all searches.
• Provide constructive feedback on effective strategies and areas for improvement to enhance team-wide processes.
• Support the introduction of new tools, templates, and best practices as directed by the Director.
• Ensure candidate pipelines are accurately maintained and updated in HubSpot at all times.
• Monitor and report key recruiting metrics such as time-to-submit, conversion rates, and offer outcomes.
• Identify and communicate any bottlenecks or delays promptly to the Director.
• Participate in weekly pipeline reviews and delivery check-ins.
• Document all recruiting activities, candidate communications, and pipeline updates in HubSpot.
• Adhere to established workflows for pipeline visibility and client communications.
• Advocate for systems and standardization as essential components of an excellent client experience.
• Attend weekly team meetings and one-on-one sessions with the Director of Recruitment.
• Collaborate with colleagues across Flex HR, including HR consultants and operations personnel, to ensure seamless client service.
• Maintain a positive, solutions-oriented mindset in all interactions—both internal and external.
• Demonstrate a readiness to support additional initiatives as the organization expands.
• 5–7 years of comprehensive recruiting experience, preferably within a consulting, agency, or multi-client setting.
• Proven capability to manage multiple open positions across various industries and client types concurrently.
• Strong sourcing abilities utilizing LinkedIn Recruiter, job boards, and innovative direct outreach techniques.
• Familiarity with ATS or CRM systems; experience with HubSpot and/or Hireology is advantageous.
• Exceptional written and verbal communication skills—capable of crafting precise candidate summaries and engaging confidently with client contacts.
• Highly organized with a strong focus on detail and reliable follow-through.
• Self-motivated individual who can operate independently in a remote setting while remaining connected to the team.
• Understanding of HR best practices and fundamental employment law is a plus.
• Proficient in Microsoft Suite; experience with HRIS platforms (Paylocity, ADP, Gusto) is a plus.
