This is a fully remote position, open to applicants in Australia.
• Front Desk & Client Interaction
• Incoming Call Management: Serve as the initial point of contact for our agency. Professionally answer incoming calls, assess the caller's needs, and guide them to the appropriate team member.
• Proactive Outbound Communication: Promptly return missed calls, follow up on general inquiries, and make outbound calls to clients, tenants, or tradespeople as directed by the property management team.
• Inquiry & Lead Tracking: Take comprehensive messages, accurately capture lead information, and log it for team follow-up.
• Client Assistance: Respond to basic inquiries from clients, landlords, and tenants concerning property listings, inspection schedules, or appointment bookings.
• Calendar Coordination: Organize and schedule appointments, property viewings, and meetings for agents and property managers.
• Arrears Follow-up: Make friendly yet assertive follow-up calls to tenants regarding overdue rent.
• Administrative Duties
• CRM Oversight: Maintain the database by updating client profiles, call logs, and incoming inquiries.
• Team Collaboration: Collaborate closely with agents and property managers to relay vital information and ensure that nothing is overlooked.
• General Administrative Tasks: Manage daily administrative responsibilities, including email correspondence, basic data entry, and file organization.
• Exceptional Communication: Impeccable verbal and written English skills, complemented by a warm, confident, and professional phone demeanor.
• Flexibility: A quick learner who can seamlessly transition from handling live phone calls to managing administrative tasks or system updates.
• Integrity & Trustworthiness: Highly reliable and honest in a remote work setting.
• Technical Proficiency: Familiarity with PropertyTree is a significant advantage.
• Willingness to Learn: Resourceful and eager to develop, receptive to feedback, and actively seeking ways to enhance skills.
• AI & Technical Competence: Demonstrated ability to effectively utilize Generative AI and automation tools to improve daily productivity, draft communications, and streamline processes.
• Preferred Experience: Prior experience supporting the Australian Real Estate sector is highly desirable. Previous roles in reception, front desk, or customer service positions with a focus on phone interactions are beneficial.
