This is a fully remote position, open to applicants in Philippines.
• Respond to incoming phone calls, direct calls to the relevant team members, and accurately take messages as necessary.
• Oversee the practice inbox, including prioritizing emails, organizing correspondence, and escalating urgent issues.
• Assist in managing partner inboxes, calendars, and phone communications.
• Upload and download documents from client portals and internal systems.
• Coordinate the distribution of client documents for electronic signatures.
• Update and maintain precise client information within the practice management system.
• Conduct data entry and ensure organized and accurate record-keeping.
• Provide administrative assistance to the accounting team as needed.
• Adhere to established internal procedures, workflows, and checklists to ensure compliance and consistency.
• Assist the Practice Manager with workflow coordination and job tracking activities.
• Monitor Ignition notifications and promptly inform the Practice Manager of required actions or updates.
• A minimum of 2 years of experience in an Administrative Assistant or equivalent administrative support position.
• Proficiency in using accounting software such as Xero or comparable accounting systems.
• Strong working knowledge of Microsoft Office applications, particularly Outlook, Word, and Excel.
• Excellent verbal communication skills and a professional telephone demeanor, with the capability to confidently manage incoming client calls.
• Strong administrative and organizational abilities, with the capacity to effectively juggle multiple tasks and priorities.
• Quick learner with the ability to adapt to new software, systems, and processes.
• High level of attention to detail and accuracy when managing client information and administrative duties.
• Ability to work independently, take initiative, and proactively resolve issues.
• Reliable, accountable, and dedicated to producing high-quality work.
• Capability to follow established procedures while remaining flexible and adaptable to evolving business needs.
