Bookkeeper – Administrative Coordinator

This is a fully remote position, open to applicants in South Africa.

📋 Description

• Act as the main point of contact for inquiries from new clients through email, phone, and website forms.

• Address incoming leads promptly and professionally.

• Organize and arrange discovery calls, client meetings, and follow-up sessions.

• Keep organized records of communications and maintain client databases.

• Assist in preparing proposals, contracts, invoices, presentations, and meeting agendas.

• Manage calendar scheduling for leadership and project-related meetings.

• Provide support for daily studio administrative operations.

• **Financial & Bookkeeping Support**

• Help with financial tracking and bookkeeping tasks.

• Oversee invoicing, payment tracking, and organization of expenses.

• Handle accounts receivable follow-ups and coordination of vendor payments.

• Maintain orderly financial records and documentation.

• Collaborate with accounting and bookkeeping consultants as necessary.


⛳️ Requirements

• A minimum of 3 years of experience in operations, administrative coordination, project coordination, or studio management.

• Exceptional organizational and multitasking skills.

• Outstanding written and verbal communication abilities.

• Capability to manage multiple priorities at the same time.

• Keen attention to detail and strong problem-solving skills.

• Professional communication skills suitable for client interactions.

• Experience with scheduling, coordination, and operational systems.

• Comfortable in a fast-paced, creative, and collaborative setting.

• Self-driven, proactive, and highly reliable.

• **Preferred Experience**

• Familiarity with project management tools, bookkeeping systems, and workflow software.

• Understanding of budgeting and operational tracking.

• Experience in construction, hospitality, architecture, interior design, or related creative fields is an advantage.
