This is a fully remote position, open to applicants in United States.
• Oversee all facets of commercial real estate transactions, encompassing sales, leases, and investment properties.
• Administer the preparation, review, and execution of contracts for purchase agreements, lease agreements, and related paperwork.
• Monitor and manage critical deadlines, including due diligence periods, financing contingencies, and closing dates.
• Ensure adherence to all federal, state, and local regulations that govern commercial real estate transactions.
• Collaborate with attorneys, lenders, inspectors, appraisers, and other external professionals.
• Create and maintain transaction timelines and checklists to ensure thorough oversight.
• Act as the primary contact for clients, prospects, and professional partners throughout the transaction process.
• Schedule and coordinate property viewings, inspections, appraisals, and closing meetings.
• Maintain consistent communication with all parties to provide transaction updates and address any concerns.
• Develop client presentations and marketing materials as required.
• Prepare, review, and file all documents associated with transactions, including contracts, disclosures, financial statements, and closing documents.
• Keep organized digital and physical filing systems for all client and property records.
• Ensure all documentation is accurate and complete prior to submission.
• Assist in the creation of offering memorandums, property flyers, and marketing packages.
• Update and maintain CRM systems with the latest client information, property details, and transaction statuses.
• Input and manage commercial property listings in MLS and other commercial real estate databases.
• Generate reports and analyses using real estate software and databases.
• Conduct market research and compile comparable sales and leasing data.
• Assist in property valuations and financial analyses.
• Stay informed about local market conditions, zoning regulations, and development trends.
• A minimum of 2-3 years of experience in real estate coordination is required.
• Proven track record in transaction coordination from contract initiation to closing.
• Experience in managing multiple concurrent transactions and meeting deadlines.
• Background in commercial real estate is preferred, although substantial residential experience will be considered.
• Demonstrated proficiency in document preparation and review.
• Experience in coordinating with various stakeholders, including agents, attorneys, lenders, and clients.
• Proficiency in CRM systems (Salesforce, HubSpot, or similar preferred).
• Familiarity with MLS systems and commercial real estate databases (LoopNet, CoStar preferred).
• Advanced skills in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
• Experience with document management systems and electronic signature platforms.
• Familiarity with real estate transaction management software (Dotloop, DocuSign, etc.).
• A Real Estate License (or willingness to obtain within 6 months) is preferred.
