This is a fully remote position, open to applicants in United States.
• Efficiently organize information for the internal team.
• Collaborate with vendors to adhere to project timelines.
• Accurately update expediting reports and track submittals.
• Proactively identify and mitigate risks to project deadlines.
• Monitor, report, and communicate on progress for all project orders using proprietary software.
• Request control samples from designers and suppliers for submission.
• Assist the Purchasing Manager in addressing challenges that arise post-order issuance.
• Ensure that suppliers provide designers with necessary shop drawings, finish samples, and related materials.
• Oversee approval processes for submittals and maintain the submittal matrix.
• Update specification changes in proprietary Source software.
• Coordinate project resources, tasks, and schedules.
• Monitor project budgets and cash flows.
• Research and assess product options.
• Identify product needs and specifications alongside internal teams.
• Develop project plans and ensure timely execution.
• Support project managers with daily operations and project requirements.
• Track and report project progress in proprietary software.
• Identify and resolve any project-related issues.
• Ensure quality standards are upheld.
• Manage and track inventory by reconciling packing slips and receiving reports to purchase orders.
• Collaborate with stakeholders to ensure successful project execution.
• Report project status to internal stakeholders.
• Facilitate project closeout by gathering FR certificates, care and cleaning documentation, and warranty information.
• Notify accounting two months prior to job completion to initiate financial closeout.
• Bachelor’s degree in Supply Chain Management, Business Management, a related field, or equivalent work experience.
• Over 1 year of experience in hospitality FF&E or OS&E project coordination or management.
• Strong understanding of FF&E.
• Excellent negotiation abilities.
• Proficiency in Microsoft Office and Google Workspace.
• Enthusiasm and willingness to learn and adopt new technologies.
• Strong problem-solving and critical thinking capabilities.
• Exceptional organizational and communication skills.
• Ability to function independently as well as in a team setting.
• Capability to work under pressure and meet tight deadlines.
• Applicants must have authorization to work in their country of residence.
