This is a fully remote position, open to applicants in Philippines.
• Act as the primary contact for tenant and landlord repair requests through phone, email, and property management portals.
• Conduct basic diagnostic inquiries via phone/email to determine the scope of issues prior to contractor dispatch.
• Allocate work orders to approved contractors, oversee trade schedules, and ensure jobs are tracked to completion.
• Process contractor invoices and confirm job completion sign-offs against the quoted costs.
• Organize and schedule cyclical safety inspections, guaranteeing 100% compliance in crucial statutory areas (Gas Safety/CP12, EICR, EPC, Fire Safety, and Legionella).
• Monitor and track reactive health and safety risks (including damp and mould cases in accordance with UK regulatory guidelines).
• Record and archive all safety certificates, O&M manuals, and work logs in the CRM system.
• Identify, onboard, and sustain relationships with dependable regional contractors throughout the UK.
• Ensure all contractors possess valid public liability insurance, certifications, and up-to-date compliance documentation.
• Perform post-repair follow-up calls with tenants to assess work quality and monitor contractor performance KPIs.
• Handle initial tenancy onboarding utility notifications (gas, electric, water, and council tax transfers).
• Coordinate property inventory inspections, check-in/check-out reports, and maintenance tasks at the end of tenancies.
• Maintain comprehensive, audit-ready digital files in the company’s property management software.
• Over 2 years of experience in UK property management, social housing, block management, or lettings coordination.
• Strong understanding of UK residential housing regulations (Gas Safety, Electrical Safety Regulations, Awaab’s Law, EPCs, and Health and Housing Safety Rating System - HHSRS).
• Proficient in using cloud-based property software (e.g., Fixflo, Reapit, Arthur Online, AppFolio, or Yardi), e-signature tools, and Microsoft 365/Google Workspace.
• A dedicated, quiet home office environment with a stable high-speed broadband connection.
• Excellent written and spoken English with strong telephone diagnostic and conflict-resolution capabilities.
