This is a fully remote position, open to applicants anywhere in the world.
• Manage accounts receivable and payable for both clients and the corporation.
• Respond to common inquiries from vendors, tenants, clients, and employees regarding accounts receivable and payable.
• Ensure timely invoicing, approval, and payment of all owner expenses.
• Handle check requests from team members.
• Process reimbursements to clients on behalf of the company.
• Address accounting requests from team members, including late fee credits and bill reversals.
• Maintain up-to-date tax, billing, and banking information for vendors and clients.
• Collaborate with the bank to initiate stop payments.
• Record payments received via direct deposit in the accounting system.
• Investigate checks and payments related to company credit cards and bank accounts.
• Conduct weekly check runs.
• Ensure client accounts are fully funded at all times, requesting funds from clients as needed.
• Facilitate the onboarding and offboarding of clients.
• Process credits for owners.
• Provide annual tax forms to clients and vendors.
• Manage monthly owner payments and statements.
• Reconcile the Good Life Vendor Reimbursement account.
• Identify and rectify any discrepancies in receivables or payables.
• Execute all other assigned duties.
• Demonstrated experience as a Property Accountant or Administrative Assistant.
• Proficient in Google Suite, particularly Gmail, Google Sheets, and Google Docs.
• Familiarity with email scheduling tools such as Email Scheduler and Boomerang.
• Excellent communicator and simplifier, making financial information clear, concise, and easily understandable for all stakeholders.
• Proactive problem solver and issue identifier, anticipating and preventing issues before they escalate.
• Outstanding time and task management skills, ensuring smooth financial operations through organization.
• Consistently reliable and dependable, delivering accurate and timely work.
• Strong organizational and planning skills in a dynamic environment.
• Creative thinker and continuous learner, with the ability to propose process improvements.
• Resourceful and able to work independently.
• College degree preferred; additional qualifications as an administrative assistant or secretary are a plus.
