This is a fully remote position, open to applicants anywhere in the world.
• Act as the main point of contact for Areas, SCOs, and project leaders concerning project intake, proposal creation, and reporting requirements.
• Oversee project intake procedures to ensure that submitted projects receive necessary leadership endorsement, align with organizational priorities, demonstrate potential for funding, and support measurable outcomes.
• Evaluate and enhance project concept notes, descriptions, impact statements, and budgets to meet the expectations of donors and funding partners.
• Collaborate with project leaders and stakeholders to collect essential information for proposal development and donor communications.
• Facilitate ongoing communication regarding project expectations, reporting requirements, accountability measures, and funding opportunities.
• Work together with internal departments to gather project stories, impact narratives, testimonials, and related content for donor reports, annual reports, websites, email campaigns, and stewardship communications.
• Maintain an extensive project registry and filing system that acts as the central repository for project information, proposals, reports, donor requirements, and related documentation.
• Manage project tracking systems, which include funding coordination, proposal status updates, reporting schedules, and project documentation.
• Keep reporting calendars and proactively inform project leaders and funding recipients of reporting deadlines.
• Oversee the collection, review, and submission of financial and narrative reports in line with donor agreements and organizational requirements.
• Assist in the development, formatting, editing, and distribution of project proposals and progress reports using approved organizational templates and standards.
• Ensure that project files are up-to-date, organized, and accessible to authorized stakeholders.
• Monitor donor requirements, reporting obligations, giving page support needs, and process improvements to enhance operational efficiency.
• Coordinate project-related donation processing activities alongside gift administration and finance teams.
• Support the accurate allocation of project funding, indirect cost recovery, and funding transfers.
• Maintain project funding records and update project tracking systems as necessary.
• Communicate project awards, funding decisions, reporting expectations, and compliance requirements to project recipients.
• Track project financial activity to ensure accurate reporting and donor accountability.
• Maintain regular communication and engagement processes that foster strong partner relationships and coordinated action.
• Establish and uphold systems to monitor funded activities, grant commitments, deliverables, and reporting obligations.
• Bachelor's degree in Business Administration, Project Management, Nonprofit Management, or a related field is preferred.
• Strong project coordination and management skills while handling multiple priorities.
• Excellent organizational, planning, and deadline-management abilities.
• Strong written and verbal communication skills.
• Capability to work effectively with diverse stakeholders across various countries, cultures, and departments.
• Proficient in preparing, editing, formatting, and reviewing proposals, reports, and project documentation.
• Strong analytical and problem-solving capabilities.
• Exceptional attention to detail and a commitment to accuracy.
• Competence in data collection, tracking, reporting, and analysis.
• Demonstrated initiative, follow-through, and dedication to continuous improvement.
• Occasional domestic and international travel may be required, including attendance at approved in-person meetings, training events, and partner engagements.
