This is a fully remote position, open to applicants in Brazil.
• Oversee the daily governance and operational procedures for design and research tools.
• Assist with license provisioning, onboarding, offboarding, and seat management activities across various platforms.
• Enhance and document workflows associated with tool requests, approvals, procurement, and license assignments.
• Act as the main point of contact for employees seeking assistance in accessing design and research tools.
• Collaborate with Procurement, Finance, and business stakeholders to manage software purchases and renewals.
• Aggregate and monitor purchase requests (PRs), purchase orders (POs), invoices, and related procurement activities.
• Ensure transparency in software utilization, license distribution, and renewal timelines.
• Spot opportunities to optimize licensing expenses, boost adoption, and minimize operational overhead.
• Create governance documentation, process guides, FAQs, and communication materials.
• Generate reports and dashboards that offer insights into license usage, procurement status, and operational metrics.
• Background in Program Management, Project Management, Operations, Business Operations, Procurement Operations, or related areas.
• Excellent organizational and process management capabilities.
• Experience with software licensing, SaaS tools, and procurement processes.
• Ability to coordinate among multiple stakeholders and functions — comfortable collaborating with Design, Research, Procurement, Finance, IT, and Vendor Management teams.
• Strong written and verbal communication skills in English.
• Proficient in creating process documentation and operational workflows.
• Preferred: Experience supporting Design, UX, Research, Product, or Engineering organizations.
• Familiarity with platforms such as Figma, HeyMarvin, UserTesting, Asana, or similar tools.
• Understanding of procurement workflows, purchase orders, invoice management, and software renewals.
• Knowledge of governance, compliance, or operational excellence practices.
