This is a fully remote position, open to applicants in Colombia.
β’ Take ownership of the status system and traffic flow. Manage the Dailies/status tracker to ensure all projects remain visible and progressing; facilitate the routing of briefs, assets, and approvals among the EVP, the pod, and vendors; participate in Manager meetings (or review AI notes) to document tasks and commitments; establish daily and weekly priorities while safeguarding deadlines; maintain and enhance the approval, routing, and publishing workflows. Be the vigilant overseer, the keen observer, the person who is always informed.
β’ Serve as a secondary reviewer β nothing is released with an error. Receive a test of every email and SMS end-to-end (links, tags, opt-outs, routing, real user experience); confirm UTMs on every link, email, and ad against the taxonomy prior to launch; proofread for spelling, grammar, check links and the documents they connect to, and validate functionality on all items; conduct QA on every form (ensuring it submits, tags correctly, assigns territory, notifies the appropriate representative, allows leads to book); review and authorize staging builds before they go live. Ask: Is this the right user experience for this audience? Is it executed with excellence?
β’ Oversee the regulatory approval process. Ensure that fund communication materials are reviewed by legal and that the appropriate parties are copied; keep track of and flag new disclosure language; obtain principal sign-offs on brand claims; enforce the initial creative gate so nothing proceeds without the EVP's approval (strictly during the first four months); guide each piece through the complete chain β writer β principals β reviewer β board β and follow up on every handoff; route approved creative to SMEs, reviewers, and the board, documenting each approval; maintain an approval record for every published asset; ensure there is one canonical, version-proofed source of truth to prevent the use of outdated or non-compliant statements from the offering documents. You have the authority to manage this system and process using whatever tools work best, but seek input from those who also utilize the system.
β’ Manage the final mile β publishing and version control. Launch approved assets live in the publishing stack (Notable, Planable, HubSpot, or similar); enforce version control to ensure the current version is live while archiving older ones; oversee access to branded assets.
β’ Maintain the workflow and hold the team accountable. Ensure the distributed (LatAm) marketing team is accountable for hours worked and output β manage timesheets and processes; make sure no-shows and unqualified leads are actively addressed; conduct pre-event checks (display, QR codes/UTMs, NFC, capture forms, table materials); shadow key calls and document action items; keep lists updated with Growth; compile weekly statistics for the Monday call; reconcile editorial and traffic calendars; identify stalls and blockers early.
β’ Document the standards. Create written guidelines for QA and compliance standards to ensure quality persists through turnover. Leave a legacy of leadership.
β’ Take charge of UTM tracking. Manage the creation, tracking, and auditing of UTM parameters across all paid channels to enhance campaign performance visibility and compliance.
β’ Minimum of 6 years in marketing traffic/project coordination or QA/compliance operations, preferably on the agency side, with a proven track record of delivering error-free results on deadline.
β’ A compliance-oriented mindset in a regulated environment. You have experience evaluating content against a defined standard β SEC/securities, financial services, healthcare, pharma, legal, or similar β and you regard the approval chain as critical, not as an obstacle.
β’ Detail-oriented proofreader and tester. You test the entire process before anything is released and you identify what others overlook; the principals never encounter an error.
β’ Exceptional English grammar and proofreading abilities, particularly in what is appropriate for our client/investor.

β’ Proactive communicator who maintains daily engagement, never goes silent, and can hold a distributed team accountable. Friendly and persuasive.
β’ Familiarity with publishing/approval and traffic stacks (Notable / Planable / HubSpot / Asana or similar) and a strict UTM-taxonomy discipline.
β’ Near-native written English β this is a proofing role.
β’ Valid passport and ability to travel to the US up to four times a year for approximately one week (first trip August 17β21).
