This is a fully remote position, open to applicants in United States.
• Oversee a varied portfolio of global multi-client projects with differing sizes, complexities, and deliverables.
• The main emphasis is on managing Learning and Development events, eLearning products, and L&D strategy initiatives.
• Develop comprehensive and thoughtful project plans utilizing established templates and tools, ensuring that key meetings are scheduled, conducted properly, and followed up with clear notes and action points.
• Administer and uphold project plans, trackers, and financial systems, ensuring that all project-related operational tasks are executed consistently and accurately.
• Keep projects aligned with objectives and account for all scenarios by implementing contingency plans and managing risks effectively.
• Ensure that projects are financially informed, appropriately resourced, and that deadlines are adhered to.
• Guarantee that all deliverables are produced in accordance with the approved statement of work and maintain an exceptional standard.
• Facilitate project kick-off meetings, ensuring that all stakeholders understand their roles and responsibilities while holding them accountable for completing tasks on time, within budget, and to a high standard.
• Communicate and present project information and updates to stakeholders at all levels.
• Cultivate strong relationships with all internal and external stakeholders and support team members in doing the same.
• Lead thorough yet efficient project planning and briefing sessions.
• Collaborate with the business development team to formulate client proposals and contribute to the execution of pitches/RFPs.
• Create and oversee complex budgets, ensuring projects remain within the allocated budget.
• Actively liaise with the Business Development and Finance teams to verify that project financials are accurate and up to date in all internal systems.
• Proactively engage with account teams and clients to identify new opportunities while building relationships through effective communication and trust.
• A minimum of 3 years of experience in project management or life science event management, preferably in a learning and development context.
• 5+ years of experience is preferred.
• Experience in an agency environment is desirable.
• Strong preference for experience in a pharmaceutical setting.
• Preference for candidates residing in Eastern or Central time zones.
• Willingness to travel occasionally as needed.
• PMP certification or equivalent is preferred but not mandatory.
• Outstanding planning, prioritization, and organizational abilities.
• Effective communication skills: Strong written and verbal skills with the ability to forge lasting relationships with internal and external stakeholders and confidence in presenting to project teams and clients.
• Self-starter: A proactive mindset, taking ownership of projects, and enjoying responsibility and accountability.
• Experience with project management and ERP systems (Smart sheet, Workday, Microsoft Project).
• Flexibility: Willingness to adapt work patterns to meet client needs and enhance project delivery.
• Proficient in Microsoft Office applications, especially Outlook, Word, Excel, PowerPoint, and digital meeting platforms.
• Strong financial insight: Capable of creating, monitoring, and reconciling detailed budgets.
• Client-centric approach: Builds trustworthy relationships and delivers exceptional client service.
• Adaptability: Comfortable in a dynamic environment with changing client requirements.
