This is a fully remote position, open to applicants in Portugal.
• Take ownership and enhance the rhythm of internal reporting: bi-weekly PM reports, leadership updates, CEO briefings, All Hands meetings, and Board materials — ensuring precision, clarity, and punctuality.
• Assist in the implementation and scaling of AI-driven automations to optimize reporting and other recurring operational tasks; identify additional areas where automation can minimize manual effort.
• Lead cross-functional processes and experiments: rollout logs, retrospectives, onboarding of new team members, and pinpointing bottlenecks in cross-team workflows.
• Track KPIs and resource allocation across teams: prepare regular reports that highlight areas where the team may be lagging, encountering obstacles, or underutilizing resources — and suggest concrete solutions.
• Support leadership with various ad-hoc initiatives: research, calls, vendor coordination, contract evaluations, test assignments, candidate pre-screening, and other responsibilities that require ownership and discretion.
• Collaborate with PMs, team leads, and leadership to ensure clarity on priorities, deliverables, and timelines.
• Proactively identify operational deficiencies and present ideas for enhancing team efficiency.
• Over 3 years of experience in project management, operations, or related roles, preferably within tech or product environments.
• Experience managing recurring reporting cycles and preparing materials for varied audiences (team leads, leadership, All Hands).
• Practical experience with AI tools and automation (LLM-based workflows, no-code/low-code platforms) — along with a strong desire to broaden their application.
• Robust analytical mindset with the capability to monitor KPIs, recognize trends, and convert data into actionable recommendations.
• Experience contributing to cross-functional processes: onboarding, retrospectives, rollout procedures, and operational rituals.
• Comfortable navigating uncertainty and managing a diverse array of tasks — from structured recurring processes to ad-hoc research and one-off projects.
• Excellent written and verbal communication skills, with the ability to simplify complex information into clear updates.
• Self-motivated with a strong sense of ownership: capable of managing multiple workstreams simultaneously, meeting deadlines, and functioning independently.
• High level of discretion and judgment when dealing with sensitive information.
• Results-oriented with a commitment to continuous improvement.
• Strong collaboration skills — adept at working with PMs, engineers, analysts, and leadership across teams.
