This is a fully remote position, open to applicants in Virginia.
• Facilitate communication with vendors to track newly placed orders.
• Verify and document delivery timelines while ensuring awareness of upcoming, delayed, and overdue shipments.
• Track invoice statuses for fulfilled orders and manage any delayed or missing vendor invoices.
• Raise invoice and order-related issues to the procurement or finance departments.
• Keep precise, audit-ready records of orders, deliveries, invoices, and project-related communications.
• Assess project and budget conditions, oversee schedules, and generate status updates.
• Identify challenges in projects or the supply chain, devise solutions, and establish monitoring processes.
• Supervise the operational components of active projects.
• Act as a liaison among vendors, project management, planning, project teams, line management, procurement, finance, and clients.
• Handle multiple workflows and ensure seamless execution across teams.
• Execute additional responsibilities as required or assigned.
• No prior experience required with a Bachelor's degree in a relevant field, or a High School Diploma or equivalent plus 4 years of applicable experience.
• Background in supporting technical projects and/or programs within the Department of Defense (DoD) is preferred.
• Understanding of purchase orders, vendor documentation, and related processes.
• Knowledge of administrative functions such as finance, HR, purchasing, and/or compliance is essential.
• Experience in project coordination, schedule management, and supporting multiple priorities in a dynamic environment.
• Exceptional organizational, analytical, and problem-solving abilities.
• High accuracy in data entry, documentation, and maintaining digital records and tracking systems.
• Strong communication and interpersonal skills are necessary.
• Capability to work autonomously, juggle competing priorities, and collaborate across diverse teams.
• Proficient in Microsoft Office Suite, including MS Word, Excel, and PowerPoint.
• Eligibility to obtain and maintain a Secret clearance.
• Bonus: 2+ years of experience supporting intricate technical DoD projects and/or programs.
• Bonus: Experience in vendor communications, order follow-ups, and basic invoice and delivery tracking support.
• Bonus: Familiarity with DoD project management standards, risk management practices, and compliance requirements.
• Bonus: Proficient in Microsoft Project and other project management or computerized tracking systems.
