This is a fully remote position, open to applicants in Canada.
• Act as the main contact for all incoming project requests.
• Oversee and manage the project intake workflow from submission to approval or denial.
• Ensure that all submissions are accompanied by the necessary documentation (business case, scope, risks, timeline, etc.).
• Conduct initial assessments of requests to distinguish between project and operational work.
• Collaborate with requestors and stakeholders to create essential project inputs, including (but not limited to): Business case and problem statement, ROI and financial impact details, risks, dependencies, and constraints, implementation approach and scope.
• Organize intake review cycles, which include: Preparing and facilitating meetings when necessary, tracking decisions and follow-ups, ensuring adherence to governance standards and processes, and maintaining transparency regarding request status for stakeholders.
• Assist in evaluating and prioritizing requests based on established criteria.
• Compile and present: Estimated timelines, resource requirements, risks, and dependencies.
• Support leadership by providing clear and structured decision-making inputs.
• Collaborate with business and IT teams to refine project requests.
• Communicate intake expectations and timelines to requestors.
• Offer guidance on intake requirements and templates.
• Identify and suggest improvements to the intake process.
• Monitor and report on: Intake volume, approval rates, cycle times, and maintain intake documentation, templates, and tools.
• 4–6+ years of experience in project management or PMO roles.
• Proven experience in cross-functional, matrixed environments.
• Excellent organizational and documentation abilities.
• Capability to gather and synthesize both business and technical information.
• Previous experience with project intake, governance, or PMO processes is preferred.
• Proficiency in project management tools (e.g., Monday.com).
• Preferred Qualifications: Experience in supporting PMO or portfolio management functions.
• Familiarity with project prioritization, business case development, or funding reviews.
• Understanding of professional services or multi-business-unit environments.
