This is a fully remote position, open to applicants in California.
• Take charge of executing the EPO communications calendar across active programs by drafting and publishing updates for Slack channels, company-wide announcements, intranet posts, and content for program websites (including the Project WAVe site) in accordance with the EPO communication strategy and Voyager brand standards.
• Develop and sustain change management content for enterprise program rollouts, including training materials for employees, self-service guides, process documents, manager toolkits, and policy explainers, ensuring that all content is clear, accurate, and ready for launch when programs go live.
• Assist in the annual Enterprise Planning cycle by coordinating division goal submissions, managing the planning calendar, creating employee-facing communications that align the company Vision, Mission, and Goals with team-level initiatives, and documenting the planning process for ongoing improvement.
• Oversee the EPO’s project intake infrastructure by maintaining the intake form and SharePoint repository, organizing logistics for scoping calls related to new project requests, and ensuring that the EPO project registry and capacity tracker are up to date for informed portfolio and assignment decisions by the Senior Director.
• Manage and execute minor project workstreams from start to finish, which includes essential but low-complexity process rollouts (e.g., HR policy updates, IT self-service training, name change procedures), with responsibility for timelines, content, and stakeholder communications.
• Collaborate with Senior Program Managers to coordinate meeting logistics, track action items, maintain program documentation repositories, and ensure that dashboards and milestone trackers accurately reflect the current status.
• Work with Internal Communications, IT, HR, and Marketing/Communications (MarCom) to guarantee that the messaging for enterprise programs is consistent, on-brand, and delivered punctually through appropriate channels.
• Facilitate integration activities for new acquisitions and onboarding of entities where EPO is involved, which includes coordinating communications, training materials, and logistics in collaboration with HR, IT, and the M&A team.
• Provide additional support across EPO programs during peak demand periods, coverage for leave, or team transitions, ensuring program continuity without losing momentum.
• Bachelor’s degree in Business Communications, Organizational Development, or a related field, with a minimum of 2 years of relevant experience in project coordination, communications, or change management, or 6 years of experience in a related area in place of a degree.
• Proven experience in creating employee-facing communications, training content, or process documentation in a professional environment, along with strong written communication skills that reflect a clear and accessible style.
• Experience in supporting project or program management efforts, including tracking action items, maintaining documentation, and coordinating with multiple stakeholders simultaneously.
• Proficiency with Smartsheet, SharePoint, and/or comparable intranet and document management platforms such as Slack and the Microsoft Office Suite.
• Proven ability to communicate with high accuracy both in writing and verbally across various business units.
• Strong organizational skills with the capability to manage multiple workstreams and deadlines independently.
• Comfort in navigating a fast-paced and ambiguous environment where priorities can shift, and resourcefulness is essential.
• Demonstrated ability to collaborate cross-functionally and establish effective relationships with stakeholders at different levels of seniority.
