This is a fully remote position, open to applicants in Philippines.
• Manage overall projects for the Brand Partnerships team, which includes handling timelines, trackers, deliverables, meeting notes, action items, and follow-ups.
• Ensure CRM integrity by maintaining deal stages, contact records, next steps, meeting notes, follow-up dates, campaign status, and essential client information.
• Prepare and structure materials for client meetings, internal evaluations, campaign launches, status updates, and post-campaign summaries.
• Monitor open items across Sales, Client Services, Production, Creative, Marketing, Analytics, Legal, Finance, and Talent to guarantee that nothing is overlooked.
• Facilitate campaign handoffs and launches by documenting sold items, required deliveries, responsible parties for each next step, and deadlines for key milestones.
• Maintain project trackers, campaign status documents, asset inventories, approval logs, reporting timelines, and renewal follow-up reminders.
• Assist with team administration tasks, including scheduling, agenda formulation, meeting summaries, document organization, file management, and internal communication.
• Aid in keeping sales and client-service materials organized and up-to-date, such as pitch decks, case studies, campaign links, performance highlights, and client-facing assets.
• Contribute to event and industry activation planning by assisting in the organization of target lists, meeting schedules, follow-up trackers, and post-event updates.
• Identify bottlenecks, missing information, overdue follow-ups, or ambiguous ownership, and address issues proactively before they escalate.
• A minimum of 4 years of experience in project coordination, sales operations, client services, partnerships, media, agency, entertainment, creator, or production settings.
• Familiarity with branded content, digital media, creator partnerships, advertising, or agency workflows is an advantage.
• Exceptional organizational skills and a keen attention to detail.
• Experience with CRM systems such as HubSpot, Salesforce, Monday.com, Airtable, or similar platforms.
• Strong written communication skills with the ability to create clear meeting notes, recaps, trackers, and follow-up summaries.
• Capability to manage multiple tasks in a dynamic environment.
• Strong follow-through and comfort in holding individuals accountable to deadlines.
• A proactive approach; you recognize gaps, identify issues, and establish order without needing to be prompted.
• Ability to collaborate across Sales, Client Services, Production, Creative, Marketing, Analytics, Legal, Finance, and Leadership.
• Skill in keeping sensitive client, deal, and performance information organized and confidential.
