This is a fully remote position, open to applicants in United States.
• Assist project managers with the daily coordination of ICAM program activities, which includes scheduling meetings, tracking action items, and managing project documentation.
• Create, maintain, and update project schedules, work breakdown structures (WBS), and milestone tracking tools to ensure accurate visibility into the progress of projects.
• Monitor and report on project status, risks, issues, and dependencies, escalating concerns to project managers and program leadership as necessary.
• Organize and facilitate project meetings, working sessions, and stakeholder briefings, which involves preparing agendas, capturing meeting minutes, and tracking follow-up action items.
• Maintain and structure project repositories, SharePoint sites, and document management systems to ensure all project artifacts are up-to-date, accessible, and properly version-controlled.
• Assist in the development and submission of project deliverables, status reports, and other program documentation in alignment with contract requirements and government deadlines.
• Aid in the coordination of onboarding and offboarding processes for project team members, including managing access requests and equipment provisioning within the ICAM environment.
• Track and manage project risks and issues logs, collaborating with technical leads and project managers to ensure timely resolution and mitigation.
• Support change management efforts by coordinating change requests, tracking approvals, and communicating changes to relevant stakeholders.
• Assist in preparing briefings, presentations, and reports for government customers and senior leadership.
• Facilitate cross-functional communication among ICAM engineers, administrators, security teams, and government stakeholders to ensure alignment on project goals and priorities.
• Aid in budget tracking activities by monitoring expenditures, tracking invoices, and assisting with financial reporting as directed by program leadership.
• Support the development and upkeep of standard operating procedures (SOPs), process documentation, and lessons-learned repositories.
• Participate in Agile ceremonies such as sprint planning, daily stand-ups, sprint reviews, and retrospectives to support Agile-managed ICAM workstreams.
• A Bachelor's degree in Business Administration, Information Technology, Project Management, or a related field from an accredited college or university; equivalent work experience may be considered in lieu of a degree.
• A minimum of 2 years of experience in a project coordination or project support role within an information technology or federal government setting.
• Outstanding communication skills in English – both written and oral – with the capacity to effectively engage with both technical and non-technical stakeholders at all levels of an organization.
• Strong organizational and time management abilities, capable of managing multiple tasks and priorities simultaneously in a dynamic environment.
• Proven experience in maintaining project schedules, tracking action items, and supporting project reporting activities.
• Proficiency in project management and collaboration tools such as Microsoft Project, Jira, Confluence, SharePoint, or similar platforms.
• Experience in preparing and distributing meeting agendas, minutes, and action item trackers.
• Ability to create clear, concise, and professional written communications, reports, and presentations for various audiences, including senior leadership and government customers.
• Familiarity with project management methodologies, including Waterfall and Agile frameworks.
• Strong attention to detail and a commitment to accuracy in documentation and reporting.
• Ability to collaborate effectively in a team environment while also showing the initiative to work independently when necessary.
• Proficiency in the Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
