This is a fully remote position, open to applicants in United States.
• Develop, maintain, and enhance program applications within our application management system, which includes monitoring system updates, testing modifications, troubleshooting errors, and resolving issues throughout the year.
• Design, maintain, and refine tracking systems and operational workflows for a variety of projects, such as student enrollment processes, language testing, Pre-Departure requirements, and other operational initiatives that assist students during their program journey.
• Evaluate existing processes, uncover areas for enhancement, and devise scalable solutions through technology, documentation, and workflow improvements.
• Generate, disseminate, and provide training to the team on specific projects and processes, which involves creating clear SOPs, training materials, and process documentation under the guidance of the Associate Manager and Director of Sales Operations.
• Oversee the process and manage systems for enrolling students in travel insurance, which includes data tracking, audits, and addressing enrollment issues.
• Offer support to the Sales team with inquiries related to applications, billing, and technical assistance.
• Develop content for and oversee the enrollment process for student Pre-Departure online courses in Canvas, encompassing updates, testing, and system enhancements.
• Assist in awarding the Global Navigator Scholarship using our application system and ensure accurate communication of award decisions to students and families.
• Acquire knowledge, maintain, and troubleshoot departmental technology platforms, pinpointing opportunities to enhance efficiency and user experience.
• Participate in an annual in-person training and consistently strive to enhance your skills.
• Flexibility to work occasional evenings and weekends to meet deadlines.
• Possibility of international travel up to once a year to accompany student group flights.
• Responsible for providing emergency support during 1-2 travel weekends each year.
• Additional duties as assigned.
• Bachelor’s degree or international equivalent.
• At least two years of experience in administrative, operational, project coordination, systems support, or a related field is required.
• Advanced proficiency in Microsoft Excel is required, including working with formulas, large data sets, data organization, filtering, and reporting tools; experience with macros, automation tools, or advanced reporting is preferred.
• Strong technical skills with the ability to quickly learn, navigate, and troubleshoot various software platforms and systems.
• Experience with CRM, database, application management, learning management, or project management systems (Salesforce, Canvas, or similar systems preferred).
• Ability to analyze processes, identify inefficiencies, and propose improvements that enhance accuracy, organization, and efficiency.
• Excellent written and verbal communication skills are required, with a proven ability to create clear SOPs, training materials, process documentation, and user guides.
• Strong organizational skills and attention to detail, with the capability to manage multiple projects, competing deadlines, and shifting priorities.
• Ability to take broad direction, break projects into actionable tasks, and deliver results independently with minimal guidance.
• Strong problem-solving and critical thinking abilities, including the capacity to research solutions and utilize available resources before escalating issues.
• Ability to effectively communicate information across cultures with international staff via email, phone, and Microsoft Teams on a regular basis.
