This is a fully remote position, open to applicants in Portugal.
• Collaborate closely with the Project Manager to create comprehensive project plans, timelines, and deliverables.
• Act as a backup for compliance procedures (e.g., Vetting & Debarment/TOV).
• Manage spreadsheets related to recruitment, travel, fees, and payment reporting.
• Monitor milestones and deliverables to ensure they are completed on schedule.
• Utilize project management tools (Smartsheet, HubSpot, Microsoft Office, AI-based programs) to track progress.
• Prioritize tasks across various therapeutic areas.
• Prepare and gather essential documentation (COI, W-9, ACH forms, contracts).
• Provide regular updates and reports on project status to stakeholders.
• Maintain organized, audit-ready documentation for all project activities.
• Assist with quarterly and annual closeout processes.
• Identify potential risks and collaborate on strategies for mitigation.
• Communicate any changes to the project scope and their implications to relevant parties.
• Help with payment processing and uploads as required.
• Offer general administrative support to project teams.
• Proficiency in project management tools (Smartsheet, HubSpot, Microsoft Office, AI-based programs).
• Experience in Pharma/Life Sciences is preferable but not essential.
• Bachelor’s degree.
• 1-3 years of pertinent work experience.
• Basic understanding of project management principles (scope, risk, timelines, budgets).
• Flexibility: Extended hours may be necessary during critical project phases or tight deadlines.
• Standard Hours (Remote): Monday to Friday, 8:00 AM – 5:00 PM (US East Coast time) (includes a one-hour lunch break).
