This is a fully remote position, open to applicants in Costa Rica.

📋 Description

• Take ownership of the status system and traffic flow. Manage the Dailies/status tracker to ensure every project is visible and progressing; facilitate the routing of briefs, assets, and approvals among the EVP, the pod, and vendors; participate in Manager meetings (or review AI-generated notes) to log tasks and commitments; establish daily and weekly priorities while safeguarding deadlines from slipping; maintain and enhance the approval, routing, and publication workflows. Be the vigilant overseer, the keen observer, the individual who is “in the know.”

• Serve as a second set of eyes—ensuring that nothing is shipped with errors. Conduct thorough tests of every email and SMS end-to-end (including links, tags, opt-outs, routing, and real user experience); verify UTMs on all links, emails, and ads against the established taxonomy before launch; proofread for spelling, grammar, check links and associated documents, and confirm functionality on all items; perform quality assurance on every form (ensuring it submits correctly, tags accurately, assigns territory, notifies the appropriate representative, and allows leads to book); review and approve staging builds prior to going live. Always ask: Is this the optimal user experience for this audience? Is it executed with excellence?

• Manage the regulatory approval chain. Ensure that fund communication artifacts undergo review by legal and that the appropriate parties are informed; monitor and flag new disclosure language; obtain principal sign-offs on brand claims; enforce the initial creative gate so that nothing progresses without the EVP's approval (strictly for the first four months); guide each piece through the entire chain—writer → principals → reviewer → board—and diligently track every handoff; route approved creative to SMEs, reviewers, and the board while logging each approval; maintain a record of approvals for every published asset; sustain one canonical, version-proof source of truth to avoid using outdated or non-compliant statements from offering documents. You possess the authority to manage this system and process using any effective tools, but also seek input from those who will be utilizing the system.

• Oversee the final steps—publication and version control. Launch approved assets live in the publishing stack (Notable, Planable, HubSpot, or equivalent); enforce version control to ensure that the current version is live while older versions are archived; manage access to branded assets.

• Maintain the cadence and hold the team accountable. Ensure that the distributed (LatAm) marketing team remains accountable for hours worked and output—manage timesheets and processes; address no-shows and ensure unqualified leads are actively engaged; prepare for events (display, QR codes/UTMs, NFC, capture forms, table materials); shadow key calls to capture action items; streamline lists with Growth; compile weekly statistics for the Monday call; reconcile the editorial and traffic calendars; identify stalls and blockers early on.

• Document the standards. Create a written record of QA and compliance standards to ensure quality persists through turnover. Establish a legacy of leadership.

• Oversee UTM tracking. Take responsibility for the creation, tracking, and auditing of UTM parameters across all paid channels to enhance campaign performance visibility and compliance.


⛳️ Requirements

• 6+ years of experience in marketing traffic/project coordination or QA/compliance operations, preferably in an agency environment, with a proven record of delivering error-free results on time.

• Possess a compliance instinct in a regulated category. You have reviewed content against fixed standards—such as SEC/securities, financial services, healthcare, pharma, legal, or similar—and you regard the approval chain as sacred rather than a source of friction.

• An obsessive proofer and tester. You examine the entire process before anything is shipped and catch details that others overlook; the principals never find an error.

• Exceptional English grammar and proofreading skills, particularly in context with our clients/investors.

• An owner’s mindset: you are willing to put in whatever hours are necessary, maintain a low ego, and drive outcomes without needing direction.

• A genuine AI & systems builder: you establish QA, compliance, and version-control workflows—connectors, agents, a single source of truth—that double throughput. You actively utilize our AI Brain to verify copy edits against our Fund operations documents for consistency and accuracy with offering documents.

• A self-sufficient operator: you know what actions to take, how to lead with accountability, and where to independently learn any tool quickly.

• A proactive communicator who maintains daily cadence, avoids going dark, and can hold a distributed team accountable; friendly and persuasive.

• Familiarity with a publishing/approval and traffic stack (Notable / Planable / HubSpot / Asana or equivalent) and a strict discipline in UTM taxonomy.

• Near-native proficiency in written English—this is a proofing role.

• A valid passport and the ability to travel to the US up to 4 times per year for approximately one week (first trip scheduled for August 17–21).
