This is a fully remote position, open to applicants in United Kingdom.
• Oversee project management for several concurrent initiatives that involve various moving components, stakeholders, and contractors.
• Convert leadership's vision and priorities into actionable steps, timelines, and comprehensive work plans.
• Track project progress and proactively identify risks, obstacles, or delays.
• Assist in monitoring and evaluation efforts to track key milestones and outcomes.
• Lead brainstorming sessions and offer solutions to project and operational challenges.
• Produce communication materials to convey updates and progress to both internal and external audiences.
• Create well-crafted presentations, reports, and briefing documents for funders and stakeholders.
• Draft and maintain project documentation, encompassing process guides, standard operating procedures (SOPs), and workflow summaries.
• Collaborate closely with the Team Coordinator to oversee vendor relationships, including contracts, procurement memos, and timesheet management.
• Organize schedules and meetings with team members, contractors, and external partners.
• Document processes established through ongoing projects and translate them into accessible, actionable steps for team members.
• Provide general operational support to alleviate workload on leadership and the wider team.
• 3–5+ years of experience in project management, operations, or a related field.
• Exceptional organizational and multitasking abilities with a keen attention to detail.
• Excellent communication skills, both written and verbal; Fluency in English is required.
• Proven experience in managing multiple stakeholders and contractors simultaneously.
• Ability to create professional presentations, reports, and written communications.
• Familiarity with and enthusiasm for leveraging generative AI and other AI technologies, process automation, and digital innovation across various contexts.
• Experience with vendor management, procurement procedures, and contract coordination.
• Comfortable working in a dynamic, fast-paced environment with uncertain timelines.
• Strong written and verbal communication skills.
• Fluency in additional languages beyond English (Spanish, French, Italian, Portuguese, Cantonese, Hindi, Tamil, or Thai preferred).
• Familiarity with project management tools (e.g., Asana, Monday.com, Notion, or similar).
