This is a fully remote position, open to applicants in Arizona, +4 more states.
• Act as the organization's expert on the professional services automation (PSA) platform.
• Address system-related queries and issues raised by users.
• Resolve billing discrepancies and scheduling conflicts, ensuring proper revenue recognition and suggesting corrective measures.
• Oversee team member access to the PSA platform and their project assignments.
• Provide training to new users of the system.
• Convert Statements of Work into the PSA system, ensuring tasks are accurately depicted and clarifying any scope or billing uncertainties.
• Review custom data fields and structures to ensure correct transfer to Finance and downstream reporting.
• Gather, update, and confirm project completion percentages with project leads.
• Generate program reports to evaluate program health based on time entries, descriptions, schedules, and task statuses.
• Assess program health and progress with leads and escalate issues as necessary.
• Monitor resource utilization metrics and adjust program resources throughout the lifecycle of the program.
• Design and automate regular performance reports for leadership, highlighting trends, risks, and anomalies.
• Review invoices prior to distribution and resolve issues in collaboration with project leads.
• Investigate discrepancies in time entries and billing, determining appropriate corrective actions.
• Conclude completed projects and provide data for lessons-learned evaluations.
• Assess new features of the PSA system and train the team on their functionality.
• Report directly to the Director of Program Management and work with internal stakeholders to define project management best practices and systems.
• A minimum of 2 years of project management experience in consulting utilizing a professional services automation (PSA) system.
• Experience with Mavenlink / Kantata is preferred.
• A BA/BS degree is required, ideally in a technical discipline.
• Direct experience in administering a PSA platform, including project setup, task configuration, time entry, and billing management.
• Familiarity with milestone-based and time-and-materials billing structures.
• Strong skills in conflict resolution and change management.
• Ability to navigate competing priorities among stakeholders and guide teams through changing processes, systems, and program requirements.
• Capability to work autonomously, meet deadlines, and function effectively as a dedicated team member.
• Excellent writing skills; highly organized; strong attention to detail.
• Outstanding interpersonal skills and the ability to foster relationships with project leads, project team members, and cross-functional stakeholders.
• Proven track record of managing confidential information with utmost discretion.
• Proficiency in Microsoft Word and Excel.
• Required familiarity with professional services automation software.
