Project Administrator

This is a fully remote position, open to applicants in Philippines.

📋 Description

• Oversee the maintenance of project documentation including plans, reports, meeting minutes, and risk logs.

• Organize and arrange project meetings, workshops, and reviews.

• Monitor progress against project timelines and plans.

• Serve as the primary point of contact for project team members, stakeholders, and suppliers.

• Disseminate internal and external communications to keep stakeholders updated.

• Assist in preparing stakeholder updates, status reports, and presentation materials.

• Coordinate the allocation and scheduling of project resources.

• Track and update task assignments and deadlines.

• Provide support to team members in achieving their deliverables.

• Manage project budgets and expenses under the guidance of the Project Manager.

• Assist with purchase orders, invoice tracking, and vendor management.

• Maintain logs for project risks and issues.

• Ensure that actions, mitigations, and escalations are implemented effectively.

• Uphold compliance with project processes, templates, and standards.

• Provide support for audit preparations and project reviews as necessary.

• Prepare or contribute to the creation of status reports and dashboards.

• Ensure that all project documentation is current and correctly stored.

• Guarantee that all client projects comply with industry security standards (e.g., ISO 27001, GDPR) and internal Service Level Agreements (SLAs).


⛳️ Requirements

• A minimum of 2 years of experience in project coordination, ideally within a managed services or cybersecurity setting.

• A project management certification (PMP, PRINCE2, or similar) is highly preferred.

• Experience in managing projects that involve the deployment and integration of cybersecurity technologies.

• Proven client-facing experience with strong communication and interpersonal skills to effectively manage relationships with various stakeholders.

• Familiarity with project management tools, particularly Monday.com, is a plus.

• Proficient in Microsoft Office applications (Excel, Word, PowerPoint).

• Knowledge of collaboration tools (Teams, SharePoint, etc.) is advantageous.
