This is a fully remote position, open to applicants in United States.
• Initiate new projects, input purchase orders (POs) and change orders (COs) into the ERP system based on validated request forms.
• Confirm that contract terms, task codes, billing rates, and funding limits are set up accurately.
• Offer expertise and guidance on project initiation within the ERP system.
• Examine project financial documents and supply project managers with data concerning project performance.
• Assist project managers throughout the entire project lifecycle, including setup, billing, and closeout processes.
• Collaborate with project managers to track invoice status and proactively follow up as needed.
• Work alongside billing specialists to guarantee precise, compliant, and timely billing procedures.
• Facilitate weekly coordination meetings with project managers to discuss outstanding items, reporting requirements, and ERP-related queries.
• Organize and gather all necessary documentation for new clients and subcontractors.
• Keep comprehensive and well-organized contract administration files on the network and in the accounting system.
• Ensure ongoing accuracy of project data through regular audits, reconciliations, and exception reporting.
• Verify compliance with internal policies and suggest updates or enhancements as necessary.
• Prepare, produce, and submit client billings in line with contractual terms, submission standards, and organizational guidelines.
• Investigate and resolve invoicing discrepancies, making corrections or adjustments as needed.
• Track cash receipts and ensure proper allocation to outstanding invoices.
• Act as an ERP power user, assessing current workflows and recommending automation or efficiency improvements.
• Identify and drive enhancements in project accounting processes in collaboration with Software Engineers and Business & Financial Analysts for implementation.
• Provide assistance during year-end audits, including gathering invoices, contracts, and supporting documentation.
• Address ad hoc requests from project accountants, project managers, and leadership.
• Engage in training to broaden accounting, ERP, and systems knowledge.
• Attend company and client meetings as necessary.
• Cross-train to offer support to other members of the Project Accounting and Finance team.
• Associate or Bachelor’s degree in accounting or a related field.
• Over 5 years of experience in project accounting, billing projections, and contract administration.
• Proficiency in Microsoft 365 (Excel, Outlook, Word, Teams), with advanced skills in Excel.
• Familiarity with an ERP or project accounting platform (Deltek Vantagepoint preferred).
• Basic understanding of debits/credits, percentage of completion concepts, and billing schedules.
• Ability to function effectively in a fully remote setting with strong communication, organizational, and time-management capabilities in a distraction-free environment.
• Excellent written and verbal communication skills; comfortable assisting remote colleagues via Teams and email.
• Proven ability to identify issues, assess alternatives, and implement effective solutions.
• Capability to prepare, maintain, and analyze precise financial records, reports, and documentation.
• Ability to work independently with minimal supervision and collaboratively within a team setting.
• Strong attention to detail and ability to meet deadlines.
• Organizational skills, with the capacity to manage multiple priorities concurrently.
