This is a fully remote position, open to applicants in Florida, +1 more state.
• Support the Project Manager throughout the entire project life cycle.
• Develop and manage project budgets.
• Review and generate invoices for clients.
• Coordinate accounts receivable and conduct reviews of work-in-progress.
• Analyze project financial performance.
• Prepare and finalize complex invoices for clients.
• Organize personal assignments while meeting deadlines and scope requirements.
• Engage in project financial meetings addressing AR, WIP, and key performance indicators.
• Set up and oversee projects in Deltek.
• Create Work Breakdown Structures and input project budgets.
• Review, validate, and archive contracts.
• Establish billing terms based on contracts.
• Batch, assess, revise, and submit draft invoices to clients.
• Monitor work-in-progress and verify billable WIP with Project Managers.
• Track supplements and change orders.
• Enter comments related to accounts receivable and carry out timely follow-ups for collections.
• Inform management of potential and confirmed write-offs.
• Review and authorize sub-consultant invoices.
• Maintain comprehensive project documentation.
• Assist in training both new and existing team members.
• Collaborate with team members and engage with internal and external stakeholders.
• Communicate with organizational leaders, clients, officials, contractors, and others.
• A high school diploma or equivalent is required.
• Capability to complete complex invoices for clients.
• Strong analytical and problem-solving abilities.
• Proficiency in working effectively within a team environment.
• Ability to manage personal tasks while adhering to deadlines and scope.
• Excellent verbal, written, and presentation communication skills.
• Capacity to collaborate with both internal and external teams.
• Familiarity with Deltek project setup and lifecycle maintenance.
• Ability to review rates, costs, timelines, factors, WIP, and comments for discrepancies and errors.
• Competence in reviewing and approving sub-consultant invoices.
