Program Operations Coordinator

This is a fully remote position, open to applicants in Argentina.

📋 Description

• Oversee program timelines, including sessions, training, facilitator and mentor availability, and essential milestones.

• Communicate schedules with partners for their confirmation.

• Arrange training sessions for facilitators and mentors prior to program launches.

• Organize logistics for internal kickoff calls for inaugural programs.

• Manage session recordings from capture to storage and distribution.

• Provide timely status updates and maintain trackers to keep the broader team informed.

• Gather partner materials in advance of launches.

• Create and distribute platform access codes.

• Share pre-program resources, logins, and technical guides.

• Address localization requirements and facilitate content translation.

• Verify final learner enrollment and document headcounts.

• Assist with survey setup in Airtable under the guidance of the Program Operations Specialist.

• Collect and aggregate survey feedback, identifying gaps or low response rates.

• Keep comprehensive program records, including attendance and progress tracking.

• Compile and report program data to the OKR tracker.

• Issue completion certificates and manage microcredential issuance.

• Organize data and records for analysis and debriefing purposes.

• Send regular communications to partners and log these interactions.

• Coordinate learner interviews and story collection with the marketing team.

• Compile and distribute stories, photos, quotes, and statistics to the marketing team.

• Adhere to the established operational playbook while identifying any unclear or overly complicated steps.

• Outstanding organizational skills and meticulous attention to detail.

• Strong abilities in task and time management.

• Capability to coordinate schedules across various time zones and multiple stakeholders.

• Clear and proactive written communication skills.

• Comfortable in a fully remote, asynchronous, and cross-cultural team setting.

• Proficient in using Excel, Google Sheets, and Airtable.

• Familiarity with project or task management tools such as Asana or similar platforms.

• Quick adaptability to new platforms.

• Reliable in following through and pursuing missing information to ensure closure.

• Professional or fluent proficiency in English.

• Some knowledge of Spanish is preferred.

• Prior experience in coordinating programs, projects, or events is desirable.

• Exposure to education, training, or learning delivery is advantageous.

• Familiarity with online learning delivery, session recordings, credentialing, or badging is a plus.

• Comfort with access codes, logins, and basic troubleshooting is beneficial.

• Interest in games, game creation, or creative technology is appreciated.
