This is a fully remote position, open to applicants in California, +4 more states.
• Provide daily administrative and coordination support across Program departments, including DOL Program Impact, AmeriCorps, and Network Engagement.
• Monitor deliverables, timelines, and milestones for projects, ensuring program leaders adhere to key deadlines.
• Facilitate internal workflows, meetings, and communications to ensure alignment across teams.
• Maintain documentation, tracking tools, shared resources, and files to enhance program operations' efficiency.
• Assist with administrative needs related to grants and contracts, as well as other operational priorities as assigned.
• Act as a coordination point among program teams, helping to maintain alignment of priorities and timelines.
• Support onboarding processes, internal communication flows, and enhancements to cross-team processes.
• Aid in optimizing recurring processes, including quarterly standups, program dashboards, and Quarterly Trends meetings, among others.
• Foster strong collaboration within the broader Program team.
• Assist with shared systems and tools, such as Microsoft 365, trackers, and file systems.
• Identify opportunities for improving workflows, documentation practices, and team organization to achieve greater impact.
• Support data tracking and reporting requirements for programmatic initiatives.
• Promote consistency and accuracy in documentation and administrative processes.
• Coordinate logistics for convenings, trainings, and events, whether in-person, hybrid, or virtual.
• Manage scheduling, vendors, materials, participant communications, and other event operations.
• Assist in developing run-of-show materials and executing meetings and convenings.
• Track participation and facilitate post-event follow-up, documentation, and next steps.
• Utilize AI tools in a responsible, ethical, and effective manner in accordance with YouthBuild Global’s AI Acceptable Use Policy.
• Ensure the accuracy, confidentiality, and appropriate use of AI-generated content in both internal and external communications, documents, and materials.
• Identify, document, and disseminate effective practices for leveraging AI tools to enhance efficiency, collaboration, and program operations.
• 2-3+ years of relevant experience in operations, coordination, administration, or program support.
• Proven experience supporting multiple teams, projects, or departments in a dynamic environment.
• Strong organizational and project management abilities with exceptional attention to detail.
• Experience in supporting events, trainings, or convenings.
• Familiarity with Microsoft 365 and other collaboration and tracking tools.
• Knowledge of AI tools and a readiness to learn in a rapidly evolving landscape.
