Program Manager – AI Help Experience

📋 Description

• Enhance operational excellence by proactively facilitating collaboration among engineering, product, design, and operations teams — ensuring clear communication regarding delivery updates, maintaining organized documentation in Confluence, creating discovery templates, leading agile retrospectives, and addressing issues early to keep initiatives on track.

• Implement improvements from retrospectives and consistently enhance best practices across teams.

• Support cross-team projects and deliveries: Collaborate with group leads to translate the scope of goal candidates into well-defined, actionable plans and objectives during the planning phase — while working alongside teams to ensure successful delivery. This position may also oversee smaller initiatives or milestones to develop scalable processes, documentation, and presentations for various stakeholders.

• Provide data reporting, projections, and strategic insights: Generate regular data-driven reports and forecasts using Looker/Streamlit to guide leadership decisions. This role involves setting up experiment tracking, analyzing, and reporting on key projects across the group (for instance, cost modeling for AI impact). The role will identify delivery and scoping risks to suggest necessary adjustments to teams, as well as strategic opportunities that enhance our long-term metrics, such as developing various scenario models to predict AI costs and usage.

• Generalist with a proactive mindset: Serves as the “Chief Wrangler,” aligning teams and ensuring visibility. They take initiative to anticipate and mitigate obstacles in initiatives while ensuring that essential, yet often unnoticed, tasks are completed. Identify and initiate AI-driven automation opportunities that minimize manual workload, enhance visibility, and allow teams to concentrate on high-impact work.

⛳️ Requirements

• Over 5 years of experience in program or project management, product operations, Chief of Staff, or strategy roles — preferably within Big Tech, high-growth SaaS, or startup settings.

• Extensive knowledge of JIRA, Confluence, and OKR/goal frameworks.

• Practical experience with Agile methodologies, including sprint planning and backlog management, to optimize delivery velocity when collaborating with product teams is advantageous.

• Demonstrated success in coordinating cross-functional teams and initiatives, driving operational rhythms, and delivering strategic projects on schedule and within scope.

• Experience collaborating closely with Product, Engineering, and Design teams to achieve alignment across disciplines for shared outcomes.

• Excellent communication skills: capable of visualizing complex concepts, creating data visualizations, and presenting clear recommendations to stakeholder audiences.

• Proficient in stakeholder engagement and influence, quickly building rapport across engineering, product, design, and leadership levels.

• Practical experience utilizing AI to enhance automation and operational efficiency, exploring innovative approaches to streamline workflows and improve delivery.

• Advanced analytical skills in Excel and familiarity with data visualization tools (e.g., Tableau, Looker) to convert insights into persuasive reports and projections that will guide our strategy.

• A background in consulting or investment banking is a plus.
