This is a fully remote position, open to applicants in Alabama, +8 more states.
• Gather and monitor all necessary enrollment documents from students, including medical records, identification, academic transcripts, and program-specific prerequisites.
• Assess submitted documents for completeness, accuracy, and adherence to AMO and clinical site standards.
• Communicate with students via email and messaging platforms to address any missing or incorrect documentation promptly.
• Keep current records of document status for each student within the enrollment pipeline.
• Organize and prepare approved student documents into site-ready packages according to the specifications of the clinical site.
• Upload finalized document bundles to internal systems, ensuring correct file naming, version control, and proper storage practices.
• Review document packages before submission to verify that all required materials are included and formatted correctly.
• Distribute student document bundles to clinical site contacts and oversee the approval workflow until confirmation.
• Act as a liaison between AMO and clinical site administrative staff for document-related inquiries and requests.
• Monitor approval status across various sites and escalate any delays or issues to the relevant team members.
• Process student enrollment records once documents are approved, updating enrollment status in internal systems accurately and efficiently.
• Collaborate with internal teams to verify rotation start dates, site assignments, and completion of onboarding.
• Guide students in understanding enrollment requirements, timelines, and subsequent steps throughout the process.
• Manage and respond to incoming student inquiries in the shared team inbox in a timely, professional, and empathetic manner.
• Address student questions related to document requirements, enrollment status, and general program information.
• Forward complex or sensitive student concerns to the appropriate team member or department.
• Ensure consistent, on-brand communication that embodies AMO's supportive and knowledgeable voice.
• Provide general administrative support to the Clinical Operations team, including data entry, reporting, and calendar coordination.
• Assist in maintaining and updating internal trackers, spreadsheets, and standard operating procedures.
• Contribute to cross-functional projects and process improvement initiatives as assigned.
• Perform additional duties as necessary to support team objectives and enhance student success outcomes.
• Bachelor's degree in healthcare administration, business, communications, or a related field — or equivalent professional experience.
• Excellent written and verbal communication skills with a professional and empathetic tone.
• Remarkable attention to detail and organizational skills; capable of managing multiple tasks and deadlines simultaneously.
• Proficient in Microsoft Office Suite (Word, Excel, Outlook) and comfortable using digital document management tools.
• Ability to work independently and collaboratively in a fast-paced, remote, or hybrid setting.
• Prior experience in customer success, academic advising, student services, or healthcare administration is preferred.
• Familiarity with CRM platforms or enrollment management systems is preferred.
• Experience coordinating with multiple stakeholders across administrative workflows is preferred.
• Exposure to medical education, clinical training, or support for international students is a plus.
