This is a fully remote position, open to applicants in United States.
• Oversee daily program operations to ensure that tasks, schedules, and deliverables are completed accurately and punctually.
• Maintain program calendars, monitor project milestones, and prepare regular progress updates and reports.
• Assist in managing program projects that focus on process improvement, compliance with accreditation standards, and operational efficiency.
• Support resource planning and logistics for meetings, events, training sessions, and various program activities.
• Facilitate coordination among cross-functional teams to ensure effective communication and alignment of workflows.
• Monitor program expenses and reconcile them with the budgeted amounts.
• Review invoices from auditors and scheme owners, submit them for approval, track invoice status, and identify potential cost-saving measures and operational efficiencies.
• Aid in the collection and analysis of data for financial and operational reporting purposes.
• Assist program management in organizing team meetings, events, and special initiatives.
• Ensure that program activities adhere to organizational policies, accreditation requirements, and quality standards.
• Deliver outstanding customer service in response to requests and inquiries.
• Provide clients with information about the certification process and relevant program requirements.
• Manage daily communications with clients, SCS program personnel, contract auditors, accreditation bodies, certification schemes, and other stakeholders.
• Enhance the program through effective client relationship management within a collaborative team environment.
• Manage and coordinate responses to conformance-related inquiries from accreditation bodies, certification schemes, and stakeholders.
• Draft, review, and disseminate program-related communications, updates, and guidance materials.
• Organize and maintain program documentation, records, databases, and management systems.
• Support internal administrative processes, including document control, contract management, procurement, and tracking activities.
• Keep Work Instructions, templates, guides, and other operational tools and reference materials up to date.
• Coordinate logistics for meetings, including agendas, minutes, and follow-up actions.
• Draft and distribute program communications, updates, and training materials as required.
• Assist with document translations and aid in the preparation of presentations, outreach materials, and other program resources.
• Support managers and team members in training activities and the implementation of program processes and tools.
• Collaborate with cross-functional teams to ensure consistent execution of program activities and achievement of operational goals.
• Associate's Degree in Natural Resources, Business Administration, or a related field, or an equivalent qualification.
• A minimum of 2 years of professional experience.
• Proficient in Microsoft Office applications including Word, Excel, PowerPoint, and Outlook (Advanced proficiency required).
• Outstanding database management skills with the ability to quickly adapt to new systems.
• Capable of prioritizing multiple tasks and meeting tight deadlines.
• Ability to manage time effectively, work independently, and function well in team-oriented environments.
• Excellent customer service skills with a commitment to maintaining a professional demeanor at all times.
• Proficiency in English, with strong writing and verbal communication skills.
