This is a fully remote position, open to applicants in Tennessee.
• Organize and structure multiple large program teams by maintaining workflows, schedules, and communications that align with program goals.
• Assess vendor and subcontractor invoices for accuracy and compliance with contracts.
• Reconcile timecards with approved project work packages to ensure labor-reporting compliance.
• Calculate and track monthly spending rates against program budgets while identifying funding risks.
• Manage staffing training matrices, including tracking assignments, start dates, and completion dates.
• Create monthly financial and operational health presentations for program directors.
• Assist in the development, review, and alignment of Standard Operating Procedures.
• Ensure version control for program documentation, contracts, change orders, and other controlled artifacts.
• Facilitate peer reviews for major program deliverables.
• Provide administrative and operational support, including meeting coordination, tracking action items, and managing internal communications.
• Oversee and coordinate subcontractor deliverables to ensure timely submission as per contractual agreements.
• Support Program Managers by offering back-office assistance across various large program teams.
• Capability to obtain and maintain a government Public Trust clearance as necessary.
• Bachelor's degree in Business Administration, Information Technology, Project Management, or a related field from an accredited institution.
• 3–5 years of progressive experience in program coordination, project support, or operations management within a federal government contracting setting.
• Proven experience in financial activities related to programs, including invoice review, budget tracking, or burn rate analysis.
• Experience in maintaining program documentation and artifacts in a structured, version-controlled setting.
• Familiarity with subcontractor management and tracking contract deliverables.
• Outstanding organizational skills to manage multiple priorities, deadlines, and workstreams concurrently across large program teams.
• Excellent written and verbal communication skills in English, with the ability to prepare clear and professional reports and briefing materials for program directors and government stakeholders.
• Proficient in financial tracking and analysis, including invoice verification, timecard reconciliation, and burn rate modeling.
• Experienced in developing and maintaining SOPs, configuration-managed documentation, and program artifacts.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), with advanced Excel skills preferred for financial modeling and reporting.
• Skilled in collaboration and document management tools such as Microsoft Teams and SharePoint.
• Strong attention to detail and a quality control focus, with a proven track record of coordinating review cycles and enforcing documentation standards.
• Ability to work independently in a fully remote environment while ensuring strong communication and collaboration with distributed teams.
• PMP or CAPM certification is preferred.
• Experience with IT Service Management (ITSM) platforms like ServiceNow or Remedy is preferred.
• Familiarity with Earned Value Management (EVM) principles and federal financial reporting requirements is preferred.
• Experience with workforce management or training tracking systems is preferred.
• Knowledge of federal government contracting processes, including deliverable management and COR/CO relationships, is preferred.
• ITIL Foundation certification or familiarity with ITIL service management frameworks is preferred.
• Experience in supporting business development activities such as proposal coordination or past performance documentation is preferred.
