This is a fully remote position, open to applicants in United States.
• Organize training schedules in collaboration with trainers, customers, and partners according to training requests and established public training plans.
• Handle online training requests, generate orders, finalize associated documentation, and oversee related administrative responsibilities.
• Work with relevant teams to publish training calendars on websites and partner portals.
• Set up and maintain training environments utilizing Skytap, and coordinate issue resolution with appropriate teams.
• Manage Litmos, which includes updating partner records, maintaining training calendars, and issuing training certificates.
• Assist with partner and implementation professional certification procedures.
• Oversee administrative duties linked to training delivery, such as processing work authorizations, managing assignments, setting up parent projects, planning, and invoicing for vendors and customers.
• Facilitate resource scheduling and the creation of assignments.
• Develop work authorizations and budgets for subcontractor resources, ensuring proper sharing of projects with designated personnel.
• Aid subcontractors with timesheet submissions, expense reporting, invoicing, and general administrative inquiries.
• Coordinate onboarding and offboarding processes for subcontractors, including contract requests and account setup.
• Manage special billing projects and request manual invoices from Project Accounting as needed.
• Review and approve vendor invoices while collaborating with Accounts Payable to ensure prompt processing and resolution of issues.
• Assist customers and internal finance teams with inquiries related to invoices, including timesheets, budget utilization, and remaining project balances.
• Engage in regular project reviews and work with Project Managers on expired projects, order modifications, project corrections, conversions, and administrative updates.
• Evaluate customer orders and submit them for processing.
• Create opportunities and quotations in Salesforce at the request of Services Leaders and Project Managers.
• Support the development of Statements of Work and related project documentation.
• Coordinate approval workflows and legal requests.
• Offer operational and administrative assistance for Professional Services projects and training engagements.
• Prior experience in project coordination, operations, professional services administration, training operations, or resource management.
• Excellent organizational abilities with remarkable attention to detail.
• Capability to manage numerous priorities and coordinate activities across international teams.
• Experience engaging in customer-facing and cross-functional processes.
• Strong communication and stakeholder management skills.
• Proficient in working with administrative systems and business applications.
• Familiarity with Salesforce, Litmos, or Skytap is a plus.
• Proficient in English, both written and verbal.
