Professional Education Meeting Planner

This is a fully remote position, open to applicants in United States.

📋 Description

• Organizing meetings for substantial professional education initiatives, including Regional and National Educational Summits.

• Initiating the process of venue sourcing and managing contracts, which includes obtaining internal and legal approvals.

• Overseeing logistics such as event registration, RSVP lists, accommodation details, airfare, ground transportation, catering, meeting space, audiovisual needs, etc.

• Providing assistance with on-site logistics.

• Offering additional logistical support for local and regional programs, such as travel accommodations for healthcare professionals.

• Managing the database of program participants and aiding in metrics and analysis related to programs.

• Collecting data and aiding with submissions and deadlines pertaining to Sunshine Act requirements and monthly expense reports.

• Submitting and managing purchase orders and invoices for the department while collaborating with Finance and Accounting teams.

• Offering support on often complex tasks, including but not limited to project management, calendar management, agenda setting, and note-taking during both internal and external meetings.

• Providing general administrative support, such as managing calendars and planning internal cross-functional meetings.


⛳️ Requirements

• Minimum of 3 years of work experience, preferably in event planning and as an administrative assistant supporting multiple individuals.

• An Associate Degree is required; a Bachelor's Degree is preferred.

• Experience in the medical device or med tech sector, particularly in event contracting and conference logistics.

• Proven ability to manage multiple calendars across various time zones and teams simultaneously.

• Excellent writing skills with a keen eye for detail in crafting and reviewing written materials.

• Capacity to stay organized, proactive, and reliable while adapting to shifting priorities and deadlines, and managing numerous tasks at once.

• A high level of professionalism when interacting with executives both internally and externally.
