Practice Manager, Executive Assistant

This is a fully remote position, open to applicants in Philippines.

📋 Description

• Manage phone calls with a professional and empathetic demeanor.

• Efficiently convert inquiries into scheduled appointments.

• Oversee the calendar with accuracy, confirming appointments to ensure maximum productivity.

• Collect co-pays and deductibles at the time services are rendered.

• Collaborate with the billing department to address underpaid claims and communicate with clients about denials.

• Serve as the primary point of contact for billing issues, resolving them with clarity and emotional intelligence.

• Function as the Owner's "Right Hand," proactively anticipating needs before they occur.

• Maintain ongoing communication regarding the status of the desk and progress of tasks.

• Use QuickBooks and Google Spreadsheets to monitor daily office expenses, tax-related documents, and bank statements.

• Establish systems to automate recurring bill payments and enhance office workflows.

• Keep a meticulously organized digital and physical filing system, utilizing color-coding for efficiency.

• Check and respond to emails at least three times daily, providing a reassuring level of service that conveys, "Don't worry, I'll take care of this."

• Ensure all tasks are completed to 100% without the need for reminders.


⛳️ Requirements

• A minimum of 3–5 years of experience in Medical Mental Health Office Management or as a High-Level Executive Assistant.

• Prior experience in the Mental Health field is highly desirable.

• Proficient in QuickBooks, Google Workspace (Sheets/Docs), and Mental Health EHR software.

• Knowledge of CPT codes related to Mental Health and Cardiology is a considerable advantage.

• Must be readily accessible and prompt in responding to calls and messages.

• Should possess a positive "can-do" attitude, high emotional intelligence, and the capacity to multitask in a fast-paced environment while maintaining composure.
