This is a fully remote position, open to applicants in Pennsylvania.
• Review finalized award agreements, notices of award, amendments, subawards, and associated documentation to ensure completeness and accuracy.
• Reconcile budgets approved by sponsors with awarded funding and institutional proposal records, confirming alignment with allowable cost structures and system requirements.
• Ensure that revised budgets and other data elements are properly documented and accurately set up in University systems.
• Create and sustain related project records.
• Validate that necessary compliance determinations and approvals are established and aligned with award terms for all requirements.
• Verify compliance with institutional policies, sponsor regulations, and federal requirements.
• Establish and confirm award data in the eRA system to guarantee accurate and complete integration with the institutional financial system.
• Ensure all required financial, structural, and compliance elements are in place prior to account activation to minimize subsequent corrections.
• Resolve data discrepancies during the setup phase to ensure system alignment and operational readiness.
• Act as a primary contact for departments, principal investigators, and research administrators concerning award setup status and requirements.
• Communicate any missing documentation, necessary corrections, or outstanding compliance items.
• Provide guidance on account establishment procedures, timelines, and institutional requirements.
• Maintain accurate and complete award records along with supporting documentation.
• Monitor workflow queues and account setup metrics to facilitate timely processing.
• Generate reports pertaining to award setup activities, pending actions, and operational performance.
• Engage in quality assurance and continuous process improvement initiatives.
• Assist in the development and refinement of standard operating procedures and workflow documentation.
• Participate in testing and implementation of enhancements or upgrades to the eRA system.
• Suggest process improvements to enhance efficiency, data quality, and compliance.
• Bachelor’s degree is mandatory.
• A minimum of five years of work experience is required.
• Experience in university-sponsored projects administration, post/pre-award management, or research administration, or a combination of these areas.
• Familiarity with federal sponsor regulations, including Uniform Guidance and agency-specific requirements.
• Experience with systems such as Huron Research Suite, Cayuse, InfoEd, Kuali Research, Oracle, Workday, PeopleSoft, Banner, SAP, or similar platforms.
• Knowledge of the sponsored project lifecycle management and post-award administration.
• A combination of education and relevant experience demonstrating comparable knowledge may also be considered.
