This is a fully remote position, open to applicants in Canada.
• Take ownership of and manage planning and reporting templates for both current and upcoming projects.
• Establish and enhance the standard application of project management tools, with a particular focus on Wrike.
• Ensure that new projects are initiated with standardized frameworks from the kickoff stage.
• Implement version control for template modifications and execute standards via change management plans.
• Serve as the internal expert on Wrike, covering structures, custom fields, dependencies, and workflows.
• Conduct regular reviews of active project plans and alert Project Managers to any structural issues.
• Perform quality checks on sequencing, risks, assumptions, and readiness prior to external delivery or phase gates.
• Provide constructive feedback on incomplete or overly optimistic plans.
• Highlight resource and planning trends across multiple projects.
• Maintain a consolidated portfolio overview of status, risks, and resource loading.
• Identify conflicts in resourcing and overlapping timelines.
• Prepare high-level summaries for the PMO Director.
• Automate reporting and project initiation through Wrike, utilizing dashboards, scripting, and connectors.
• Create early-warning systems for overdue tasks and dependencies at risk.
• Facilitate workshops and retrospectives that lead to actionable decisions.
• Over 8 years of professional experience, including at least 5 years in hands-on project or program management.
• Background in project operations or PMO.
• Experience in owning and configuring a Project Portfolio Management (PPM) tool like Wrike, focusing on structures, custom fields, dependencies, and workflows.
• A process-oriented and automation-driven mindset, including experience with AI-driven automation.
• Capability to identify and communicate plan deficiencies and differentiate genuine risks from trivial issues.
• Strong structured communication skills and the ability to create clear portfolio representations for leadership.
• Competence in collaborating across teams without formal authority.
• Familiarity with AI tools such as Claude or Gemini for workflow enhancement.
• Experience in change management related to the implementation of processes or tools.
• Skills in facilitating workshops and retrospectives.
• Comfort in presenting to senior stakeholders.
• PMP, Certified ScrumMaster, or other agile project management certifications are desirable.
• Experience within financial institutions, mortgage or lending technology, or regulated B2B environments is a plus.
• Proficiency in French is an asset, but not mandatory.
• Successful completion of background, criminal, and reference checks is required before an offer is made.
