• Executes intricate secretarial and administrative tasks within a dynamic environment, supporting clinical, educational, and academic initiatives.
• Responsible for all clinic preparations, which include, but are not limited to, managing providers' schedules and calendars, while optimizing the provider-patient timetable, coordinating patient care, and providing information/data support.
• Acts as the primary liaison for providers.
• Oversees providers' calendars and prioritizes appointments and meetings in accordance with their preferences.
• Selects and recommends actions among competing demands.
• Continuously reviews clinical schedules to identify opportunities for improving providers' time and efforts.
• Locates missing orders and submits them for review and approval.
• Anticipates needs of insurance companies by collecting all necessary information for referrals and prior authorizations.
• Applies provider preferences and protocols to choose various options for executing and/or delegating follow-up actions based on patient notes.
• Drafts, edits, and secures signatures for non-routine correspondence related to appeals on denied claims, including compiling all essential information and drafts for provider signature.
• Manages documentation and information for providers.
• Composes and types non-routine correspondence that provides factual information.
• Organizes travel arrangements, conference registrations, and hotel accommodations.
• Collaborates with organizations, hospitals, and others to facilitate invited lectures and speaking engagements for providers.
• Conducts research on hospital medical records to gather information requested by physicians, insurance companies, and attorneys.
• Determines the sequence of daily surgeries and ambulatory procedures based on patients' medical conditions and severity.
• Facilitates the surgical/procedure schedule by effectively communicating complex details to the Operating Room scheduling office and Ambulatory Surgical Center staff.
• Approves overbooking and rearranging of surgeon's Operating Room schedules based on case complexity and medical urgency.
• Authorizes rescheduling in the event of cancellations by applying protocols for surgical scheduling.
• Orders all necessary surgical/procedure equipment, devices, and medications, following the protocols required for conducting the surgery/procedure.
• Follows up to confirm that the order is fulfilled and ready for the surgery/procedure.
• Utilizes multiple contingency strategies to ensure all details, materials, and locations are prepared for surgeries/procedures as scheduled.
• Ensures that patient education and follow-up details vary according to pre-operative readiness and post-operative rehabilitation expectations and activities.
• Responsible for the completeness of all relevant information from pre-op testing and evaluations for review by the anesthesiologist and the Operating Room.
• Assembles necessary details from various tabs within the electronic medical record for review and inclusion when completing disability paperwork.
• Evaluates calls to understand patient needs, prioritizes medical concerns, and obtains responses from providers while following up with patients.
• Serves as the primary point of contact for patients both pre and post-operative.
• Performs other duties as assigned.
• High School diploma along with 2 years of relevant experience required.
• Alternatively, an equivalent combination of education and experience is acceptable.
• Familiarity with Medical Terminology, experience with surgical/appointment scheduling software (such as Flowcast), and knowledge of electronic medical records is preferred.
