This is a fully remote position, open to applicants in South Africa.
• Oversee and manage executive calendars across various business interests.
• Arrange meetings, calls, and appointments.
• Facilitate follow-ups with clients, partners, investors, and stakeholders.
• Monitor email inboxes and ensure that important communications are addressed promptly.
• Organise documents, files, and administrative records efficiently.
• Prepare meeting agendas and assist with actions following meetings.
• Maintain a clear overview of ongoing projects, priorities, and deadlines.
• Track action items across various businesses and engagements.
• Develop and sustain project tracking systems and workflows.
• Ensure tasks are progressing and that stakeholders remain accountable.
• Provide regular updates on status and progress reports.
• Assist in identifying bottlenecks and areas that require executive attention.
• Create and implement organisational systems to enhance efficiency.
• Support the executive in managing competing priorities across diverse ventures.
• Coordinate information flow between projects and business entities.
• Assist with process documentation and initiatives aimed at workflow improvement.
• Maintain operational visibility across business activities.
• Support administrative tasks related to investor communications and reporting.
• Assist in data management and document organisation within investment platforms.
• Learn and utilise platforms such as InvestNext and other business systems as necessary.
• Coordinate scheduling and follow-up activities related to investors.
• Previous experience as an Executive Assistant, Personal Assistant, Operations Coordinator, Project Coordinator, or in a similar role.
• Outstanding organisational and time management abilities.
• Strong written and verbal communication skills in English.
• Capability to manage multiple priorities at once.
• Experience in calendar management and scheduling.
• Keen attention to detail and commitment to follow-through.
• High level of discretion and professionalism in handling confidential information.
• Self-motivated and able to work independently in a remote setting.
• Proficiency in Microsoft Office Suite, including:
• ○ Outlook
• ○ Word
• ○ Excel
• ○ PowerPoint
• Willingness to quickly learn new software and systems.
• Experience with project management or task management tools is advantageous.
• Familiarity with CRM, investor management, or business administration platforms is a plus.
• Experience supporting senior executives, entrepreneurs, attorneys, consultants, or finance professionals is also a plus.
