This is a fully remote position, open to applicants in Philippines.
• Conduct outbound calls and schedule appointments with clients, vendors, and partners in both Spanish and English.
• Manage email correspondence, ensuring effective communication and prompt follow-ups.
• Accurately document notes, maintain records, and update Google Docs/Sheets as instructed.
• Capture screenshots or gather data from various sources and organize them in shared folders or Google Docs.
• Create and uphold timesheets for ongoing projects.
• Monitor hours worked by team members, compile weekly or monthly totals, and accurately report summaries.
• Ensure uniformity and precision across all time entries.
• Record and monitor all financial transactions (incoming and outgoing).
• Keep financial documentation systematically organized in Google Sheets.
• Collaborate with the accountant/bookkeeper to provide reports or verify transactions.
• Utilize Xero for basic data entry, expense reconciliation, or invoice tracking (training available if necessary).
• Bilingual in Spanish and English (both verbal and written).
• Demonstrated experience as a Personal Assistant, Executive Assistant, or Administrative Coordinator.
• Proficient in Google Workspace (Docs, Sheets, Drive, Gmail).
• Familiarity with Xero or similar accounting software.
• Strong skills in spreadsheets (formulas, data entry, sorting, and summarizing data).
• Exceptional communication abilities via phone and email.
• Keen attention to detail and strong organizational skills.
• Reliable internet connection and capability to work independently with minimal supervision.
