This is a fully remote position, open to applicants in South Africa.
• Oversee and organize executive calendars, which includes the scheduling, rescheduling, and confirmation of meetings, appointments, and events across various time zones.
• Monitor and handle inboxes by prioritizing emails, responding professionally on behalf of executives, and ensuring that urgent matters are addressed swiftly.
• Arrange local and international travel plans, including flights, accommodations, transportation, itineraries, and any last-minute modifications.
• Prepare, edit, proofread, and organize documents, reports, presentations, proposals, and correspondence with a high degree of accuracy and professionalism.
• Track tasks, deadlines, projects, and follow-ups to guarantee seamless daily operations and accountability among teams.
• Serve as a gatekeeper and primary point of contact for both internal and external stakeholders, ensuring professional communication at all times.
• Manage confidential and sensitive information with discretion, integrity, and professionalism.
• Provide bookkeeping and administrative assistance, including invoicing, expense tracking, payment follow-ups, and maintaining precise records.
• Aid operational workflows by developing and maintaining systems, processes, SOPs, and digital filing structures.
• Organize virtual meetings, prepare agendas, take meeting notes, and follow up on action items.
• Assist with research, data collection, reporting, and project coordination as necessary.
• Communicate with clients, suppliers, and team members to ensure that tasks and deliverables are completed efficiently.
• Utilize project management and communication tools such as Asana, ClickUp, Slack, Trello, Microsoft Teams, and Google Workspace to uphold workflow and collaboration.
• Anticipate executive needs, proactively solve problems, and ensure that nothing is overlooked in a fast-paced remote environment.
• Demonstrated experience as a Personal Assistant, Executive Assistant, Virtual Assistant, or Administrative Coordinator in a remote or fast-paced setting.
• Outstanding organizational and time-management skills with the capacity to prioritize multiple tasks concurrently.
• Excellent written and verbal communication proficiency in English.
• Strong attention to detail and the ability to maintain a high level of accuracy.
• Proficient in Microsoft Office, Google Workspace, Zoom, Slack, and project management tools such as Asana, ClickUp, or Trello.
• Capability to work independently, take initiative, and quickly adapt to shifting priorities.
• Strong problem-solving skills with a proactive and solutions-oriented mindset.
• Ability to maintain confidentiality and professionalism when dealing with sensitive information.
• Comfortable working remotely with minimal supervision while remaining highly responsive and accountable.
• Experience with bookkeeping, invoicing, CRM systems, or operational support is a plus.
• Ability to effectively manage executive priorities, stakeholder communication, and operational workflows.
