This is a fully remote position, open to applicants in Canada.
• Oversee job advertisements, evaluate candidates, conduct initial interviews, and coordinate subsequent interviews with hiring managers.
• Facilitate the onboarding process for new hires, including employment contracts, software licenses, equipment, account setups, and first-week orientation.
• Manage payroll onboarding and benefits enrollment using QuickBooks Online Payroll; payroll processing is handled by the Finance team.
• Organize and oversee 3-month probation evaluations and annual performance assessments.
• Conduct offboarding procedures: documentation for departures, exit interviews, and revocation of access.
• Update and maintain company policies in Confluence and provide training to employees on new and revised policies.
• Plan and execute the annual company retreat.
• Keep a compliance calendar that addresses WorkSafeBC, provincial employment standards, and employee privacy regulations.
• Ensure compliant employment and contractor agreements across different jurisdictions, collaborating with external counsel or EOR providers as necessary.
• Organize and maintain all signed contracts, NDAs, and legal agreements, coordinating external legal reviews when required.
• Administer IP documentation, invention assignment agreements, and access controls; assist in executing the IP strategy with leadership and external legal counsel.
• Manage corporate records in OneDrive and ensure readiness for due diligence, including maintaining a structured data room.
• Keep the product Terms and Conditions up-to-date and aligned with our offerings, collaborating with legal counsel.
• Lead the assessment and implementation of an HRIS; solutions impacting payroll or accounting systems must receive Finance approval.
• 5 to 8 years of experience in an HR generalist, people operations, or office/corporate operations role, preferably within a small or growing company.
• Hands-on experience in administering employment agreements and engaging with legal counsel.
• Proven track record in managing contracts, NDAs, or corporate documentation with a keen focus on access control and version management.
• Exceptional organizational judgment: you create systems rather than accumulating disorganized piles.
• Ability to work autonomously in a remote setting, demonstrating strong written communication skills.
• High level of discretion. This position involves handling compensation data, legal agreements, and sensitive company information.
• Bachelor's degree in HR, business administration, or a related field, or equivalent work experience.
• Experience supporting international employees or contractors (EOR, classification, cross-border agreements).
• Familiarity with IP administration in a software or technology context.
• Experience with HRIS selection or implementation.
• CPHR designation or currently pursuing it.
