Payroll Specialist – Contractor

This is a fully remote position, open to applicants in United States.

📋 Description

• Perform all multi-cadence domestic payroll runs (salaried, hourly, contractors, commissions) and manage global contractor payments.

• Oversee ad-hoc and off-cycle payroll runs including bonuses, retroactive adjustments, and termination pay in accordance with state timelines.

• Take ownership of the establishment, maintenance, and closure of state payroll tax accounts, directly liaising with state agencies to resolve issues.

• Act as the hands-on administrator for Rippling payroll configurations, workflow automations, and credential management (MFA/TPA access).

• Manage 401(k) deferrals, benefits, and garnishments within the HRIS, ensuring zero-variance reconciliation against carrier invoices every cycle.

• Integrate acquisition payrolls within strict timelines, managing historical data imports and retroactive corrections without any disruptions.

• Assist the broader team with payroll reporting, people analytics, offer letter variable calculations, and compensation band updates.

• Develop and maintain a current, comprehensive runbook for all pay-run types and state tax accounts to ensure smooth operational continuity.

⛳️ Requirements

• 2–4 years of direct experience in managing high-volume, multi-state payroll processing across various employment types.

• A proven history of handling state tax registrations, remittances, filing-frequency regulations, and resolving notices from state agencies.

• Practical experience in administering 401(k) match processing, complex garnishments, and benefits deduction reconciliations.

• Strong operational knowledge of modern HRIS platforms, specifically in managing configurations and system limitations.

• Demonstrated experience in executing year-end processing, W-2 reconciliations, and preventing amended filings.

• Proficient in intermediate Excel functions (VLOOKUPs, pivot tables) for auditing large datasets and managing payroll reporting.

• Advanced, hands-on experience with Rippling payroll configuration and a thorough understanding of its TPA and Contractor of Record (COR) models.
