This is a fully remote position, open to applicants in United States.
• Oversee and sustain the Rippling timekeeping system for timecard management and scheduling.
• Review employee timecard entries and schedules to guarantee precise tracking of hours worked.
• Collaborate with clubs to assist with timekeeping and the scheduling of shifts.
• Ensure adherence to FLSA and federal, state, and local wage-and-hour laws.
• Verify and audit worked hours, PTO, overtime, premiums, seasonal coach hours, wages, and blended-rate overtime.
• Maintain payroll documentation for new hires, terminations, pay modifications, locations, and tax elections.
• Analyze payroll audits and preview reports, investigate discrepancies, and resolve issues prior to payroll submission.
• Confirm employee work locations, tax setups, and local tax jurisdiction requirements.
• Aid in payroll tax administration, covering registrations, filings, reconciliations, and payroll tax notifications.
• Assist with year-end payroll tasks, including W-2 processing, taxable benefit reporting, corrections, and reconciliations.
• Generate ad hoc Rippling reports for audit and reporting purposes.
• Engage in payroll system updates, testing, workflow enhancements, and onboarding of newly acquired clubs.
• Maintain and refine payroll SOPs, recommending process improvements.
• Provide timely payroll support across the organization.
• Safeguard the confidentiality of payroll and employee information.
• In-depth knowledge of U.S. payroll regulations, including FLSA and multi-state wage-and-hour guidelines.
• Proficiency with payroll/HCM systems such as Rippling, Paycor, ADP, UKG, and Workday.
• Strong understanding of Rippling Time & Attendance and Payroll, focusing on processing, time tracking, scheduling, and reporting.
• Excellent analytical skills and proficiency in Excel/Google Sheets, including lookups, pivot tables, and validations.
• Exceptional attention to detail, accuracy, and follow-through.
• Ability to troubleshoot Time and Attendance and Payroll issues while identifying root causes.
• Strong written and verbal communication skills, capable of simplifying payroll concepts for employees.
• Highly organized, with the ability to prioritize tasks and meet tight deadlines.
• At least 5 years of hands-on U.S. multi-state, multi-entity payroll experience.
• Experience with Rippling Time & Attendance, Scheduling, and Payroll.
• Familiarity with payroll tax setup, reconciliations, and year-end reporting.
• Background in sports, entertainment, hospitality, or high-growth/startup environments is preferred.
• Competence in operating a computer and utilizing keyboard, mouse, and video conferencing tools.
• Ability to communicate effectively via video, phone, and written means.
• Capability to participate in video-enabled meetings.
• Occasional travel required for site visits and events.
