This is a fully remote position, open to applicants in United States.
• Direct the complete semi-monthly and monthly payroll processing for over 350 employees and contractors across various EINs in the U.S. and Canada (NAM).
• Supervise payroll operations in India (APAC) for more than 400 employees, collaborating with regional teams to guarantee consistency, compliance, and cross-border alignment.
• Ensure adherence to federal, state, and local tax regulations, including timely tax filings, withholdings, and multi-state registrations.
• Reconcile payroll liabilities (taxes, benefits, garnishments) in close collaboration with HR and Finance.
• Work with HR and Finance to reconcile journal entries, ensuring correct labor expense classification across all entities.
• Keep compensation, deductions, and benefits updated in partnership with HR.
• Oversee HSA contribution uploads, ensuring precise and timely funding in coordination with benefits and banking partners.
• Manage the UK pension import processes, ensuring compliance with auto-enrollment regulations and accurate submissions to pension providers.
• Advocate for data integrity and security across all payroll systems and employee records.
• Act as the escalation point for employee payroll inquiries, providing responsive, clear, and professional assistance.
• Collaborate with Accounting to post labor costs from timesheet systems into the ERP and appropriate cost centers.
• Partner with Accounting to segment payroll across direct and indirect cost pools, including project-based costs, fringe, overhead, and G&A.
• Work with FP&A and Project Accounting on labor forecasting and headcount budget planning.
• Generate payroll-related metrics, management reports, and audit-ready documentation.
• Propel payroll system automation, improvements, and migration projects, ensuring data accuracy and continuity throughout.
• Enforce payroll-related GL coding and segmentation policies across departments.
• Maintain thorough documentation and internal controls regarding payroll processes and approvals.
• Lead payroll components of internal and external audits, identifying gaps and implementing corrective measures.
• Ensure accurate and prompt filings for federal and state wage and tax reports (W-2, 941, etc.).
• Coordinate with external accountants and tax advisors regarding payroll compliance and filing obligations.
• Maintain state payroll registrations and ongoing reporting requirements across all relevant jurisdictions.
• Bachelor’s degree in Accounting, Finance, Human Resources, or a related discipline.
• Over 7 years of payroll experience in a multi-state, multi-entity setting — exposure to NAM, EMEA, and/or APAC is strongly preferred.
• Experience with multi-currency payroll and considerations for foreign exchange.
• In-depth knowledge of U.S. payroll tax law, compliance requirements, and regulatory reporting; familiarity with UK and/or Indian payroll regulations is a plus.
• Hands-on experience with timesheet systems, labor cost segmentation, and payroll journal entries.
• Advanced Excel skills, including reconciliation, data validation, pivot tables, and reporting.
• Proficient in ADP Workforce Now or a similar payroll platform.
• Effective communicator with a proven history of successful cross-functional collaboration.
• Consistent discretion with sensitive and confidential employee information.
• Familiarity with ERP systems, especially NetSuite.
• Knowledge of GDPR and data privacy regulations necessary for EMEA payroll operations.
• Acquainted with Ramp or other modern financial platforms.
• Understanding of project-based cost allocations and indirect rate structures.
• Certified Payroll Professional (CPP) and/or Global Payroll Management (GPM) certification(s).
